How you'll help us Keep Climbing (overview & key responsibilities)

The Administrative Assistant will perform administrative duties for multiple directors in the Engine Maintenance organization as well as other tasks as assigned in support of the organization. The candidate will perform advanced, diversified, and confidential administrative duties, in addition to collaborating with team members. These duties require broad and comprehensive experience, a high level of interpersonal and planning skills, an ability to anticipate, and a knowledge of organizational practices. The AA will enjoy working in an energetic and fast-paced environment, combining an ability to anticipate needs, prioritize, and work independently with strong attention to detail and a can-do positive attitude. They will possess strong verbal and written communication skills, an ability to multi-task seamlessly, and strong decision-making ability.

This position is in Atlanta Tech Ops Offices and reports to the Director Engine Maintenance Operations Support.

Specific responsibilities include, but not limited to:

Managinga complex schedule, anticipating needs, resolving issues, and interactingpositively with all involved

Actingas the face of the group greeting visitors of all levels and resolving issues

Exercisingextensive calendar management for leaders and resolving aggressive schedulingdemands

Actingas a guide and information source on procedures, processes, and practices

Anticipatingbusiness needs and priorities, using strong interpersonal skills, planning andproblem solving

Schedulingand managing larger events and meetings, using good rapport, and thinking aheadon needs and timelines

Coordinatingdetails of event planning and logistics including meetings, A/V conferencingset-up, conference rooms, presentation and materials preparation, agenda andspeaker tracking, venue layouts

Buildingstrong rapport with peers across the organization to increase effectiveness andsolve problems smoothly

Assistingwith documents and plans using MS Office (Outlook, Word, Excel, and PowerPoint)including drafting and/or proofreading

Completingand reconciling vouchers and expense reports in a high quality and timely way

Gathering,compiling, and reporting information relevant to leader's area ofresponsibility.

Orderingoffice supplies, coordinating facilities requirements, and preparing certainreports

Organizingdomestic and international travel arrangements which includes flightreservations, hotels, etc.

Handlingconfidential personal and business information effectively

Keepingtabs and ensuring timely completion of a high volume of daily events andrequests

Activelycontributing to a positive group atmosphere

What you need to succeed (minimum qualifications)

At least 2 years of previous administrative support experience

Proficiency in Microsoft Outlook, Excel and PowerPoint

Impeccable interpersonal skills are necessary to greet visitors,customers, etc.

Must be performing satisfactorily in current position

Consistently prioritizes safety and security of self, others, andpersonal data

Embraces diverse people, thinking, and styles

Possesses a high school diploma, GED, or high school equivalency

Must be at least 18 years of age andhave authorization to work in the United States

What will give you a competitive edge (preferred qualifications)

2-5years of administrative support experience
