The County Behavioral Health Department protects and promotes the wellbeing of the community through programs focused on mental health services, substance use prevention and treatment, crisis response, care coordination, and wellness promotion. Our team works to ensure that clients of all ages have access to high-quality, culturally responsive, and recovery-oriented behavioral health services.
We are seeking a highly organized and dedicated Administrative Assistant to support this mission. This position plays an essential role in the Quality Assurance program and operations, including provider communications, documentation management, communication with the Department of Health Care Services (DHCS), ensuring compliance with state and federal requirements, audit support, and logistics assistance to ensure programs can provide services to clients.

Examples of Duties
Maintains liaison between Nevada County Behavioral Health and DHCS for program enrollment.
Onboarding clinical and non-clinical staff, including processing paperwork and enrollment on various electronic platforms.
Oversees data input into various electronic platforms and monitors these systems regularly.
Enroll contracted providers into the electronic systems and respond to contractor requests for support as needed. Establish strong community relationships to help build community care networks.
Oversee training compliance as outlined by state and federal regulations.
Provide administrative support to the behavioral health department during various annual audit and reporting activities for various regulatory entities.
Provide day-to-day supervision, guidance, and support to staff, ensuring adherence to departmental policies, timely completion of tasks, and consistent application of standardized workflows. Monitor workload distribution, identify process gaps, and implement improvements to enhance efficiency, quality of services, and compliance with state and county behavioral health regulations.
Have working knowledge of Medi-Cal system to ensure programs and providers are appropriately credentialed and enrolled in the Medi-Cal billing system.
Knowledge and Skills Required
The ideal candidate will:
Provide excellent customer service utilizing emotional intelligence to assist customers and community partners. Be committed to and participate in the department's ongoing work towards diversity, inclusion, and equity.
Possess excellent written and verbal communication skills, and the ability to adapt their communication style to meet the needs of both internal and external customers. Develop and prepare presentation materials to support analysis. Write and/or edit various documents, e.g., board memos, contracts, emails, etc.
Be a detail oriented, self-starter who can apply critical thinking skills to daily work and special projects. Work independently, and often alone, prioritizing work and remaining flexible when priorities shift.
Be software/system intuitive, possessing strong Microsoft Office suite skills, especially Excel and Word.
Conduct research; gather, compile and analyze information; prepare complex spreadsheets, matrixes, tables, and charts. Knowledge and experience in the application of demographic and statistical data.
Communicate daily with immediate staff, department staff, and outside agencies to gather information, coordinate actions, or resolve issues.
Education and Experience Required
Level I:
Equivalent to two years of college level course work from an accredited college or university, with classes in public administration, political science, business administration, economics or a related field and one year of responsible experience in office management, administrative analysis, personnel management, budgetary analysis, or accounting. Additional qualifying experience may be substituted for the required education on a year-for-year basis.
Level II (in addition to the above):
Two years of responsible administrative experience at a level equivalent to Nevada County's classification of Administrative Assistant I.
