The Department of Natural Resources is seeking to fill one (1) permanent, year-round Full-Time Office and Administrative Specialist Intermediate position at Lake Bronson State Park. Workdays are Monday-Friday with occasional weekends and holidays and work hours are 8:00am-4:30pm.
This position provides administrative support and guidance to Area 1C operations, Hayes Lake State Park, Lake Bronson State Park, and Old Mill State Park. Helps maintain records for a variety of park and area related tasks, leads front-face office operations, handles a majority of customer related inquiries, helps in maintaining budgets for all four units, and leads the park staff in various office related and customer service operations.
Responsibilities include:
To provide administrative assistance, complete and submit reports and answer all correspondence of a routine nature between Parks and Trails and the public, region offices, central office and other agencies so that accurate information is given or received in a timely manner so that Parks and Trails operate smoothly, effectively and efficiently and according to established policies and procedures. A valid driver's license is a requirement for this position, as travel may be required for training, meetings, and other work as assigned.
To maintain budget liquidation records so that account balances remain current and accurate for Area 1C operations, Hayes Lake, Lake Bronson, and Old Mill State Parks. To keep park/area management informed of the status of various budgets and complete projections of expenditures. Duties are to be handled with minimal supervision or approval, and non-routine decisions can be made which are in the best interest of professional park and trail operations.
Prepare Grant-in-Aid documents and applications, coordinate grant contact and purchase orders, and process reimbursement requests for Snowmobile and Off Highway Vehicle clubs. Review, code, document, and submit invoices, purchase cards, purchase orders, expense reports, timesheets, Grant-in-Aid applications, grant documents, public water access agreements, public toilet agreements, and other items. This will include working with local motorized clubs, sponsors, and local units of government.
To monitor and or complete all daily Park and Trails Associates shift checkout sheets and the preparation of bank deposits from the sale of vehicle permits, camping permits, group camp and facility rental and use, wood sales, Nature store merchandise sales and other miscellaneous income through US eDirect Recreation Dynamics and various spreadsheets by counting and verifying cash and credit card receipts and by maintaining auditable item records so accurate deposits of revenue are made for Hayes Lake, Lake Bronson, and Old Mill State Parks and accountability to the auditor is satisfied.
Provide office services to the Hayes Lake Park Manager/Area Supervisor, Lake Bronson Park Manager, Lake Bronson Assistant Park Manager, and parks and trails staff to ensure the park and trail operations run smoothly and information is reported accurately, timely and accordingly to policies.
Provide park and trail system and area information by telephone, mail, email and in person in a friendly and courteous manner and respond to park visitors as needed or when public contact staff is unavailable. Ensure cleanliness of the park buildings and facilities for customer use.
To coordinate, maintain and monitor the parks merchandise program so that appropriate, attractive goods are selected, displayed and sold in accordance with policy and good business practice to the benefit of the nature store program. Manage the park's nature store inventory with minimal supervision.
Minimum Qualifications
Knowledge of accounting principles and practices sufficient to analyze, interpret, and prepare financial information, records, and reports.
Knowledge of math sufficient to add, subtract, multiply, divide numbers, fractions, decimals and calculate percentages and use simple formulas.
Ability to input, verify, and edit electronic data and check the input and output data for completeness, accuracy, and discrepancies.
Word processing sufficient to use software to create, format, edit, print, and save a variety of documents including letters, memos, and reports.
Skill using spreadsheet software applications sufficient to create spreadsheets from a variety of sources and create lists, spreadsheets, charts, and graphs to track projects and activities.
Database and document / records management skill sufficient to develop/maintain various databases and retrieve and analyze information.
Knowledge of bookkeeping procedures sufficient to maintain accurate budget records and reports.
Typing/Keyboarding and use of software, such as Microsoft Word, Excel, Adobe Pro and Outlook.
Customer service practices and principles sufficient to identify each customer's needs, meet quality standards for services and evaluate customer satisfaction.
Oral and written communication skills sufficient to communicate effectively, provide clear explanations, and interpret policies and procedures.
Organizational skills sufficient to prioritize a diverse workload and adjust to changing priorities.
Interpersonal skills and abilities necessary to cooperate with a variety of staff members on a broad range of tasks and responsibilities.
Preferred Qualifications
One or more years of clerical office experience providing a variety of office services for staff.
Knowledge and efficiency in Microsoft Excel, Word, and Access software to compile, manipulate, store, and retrieve data.
Business English, spelling and grammar sufficient to proofread materials and to ensure the accuracy and completeness of written materials.
Knowledge of accounting functions to maintain budgets, pay invoices and track expenses.
Knowledge of Reservations and Point of Sales (Recreation Dynamics) and SWIFT (State Wide Integrated Financial Tool).
Knowledge of Minnesota State Park Rules and fees.
Additional Requirements
This position requires an unrestricted Class D Driver's license with a clear driving record; per DNR Fleet Policy, only those 18 years of age or older with a valid driver's license may operate equipment and vehicles on behalf of the Agency.
