Description

The Administrative Assistant supports daily operations for a large-scale data center construction project. This role works closely with the Project Coordinator and site leadership to keep documentation, communication, and workflow running smoothly in a fast-paced, high-security environment. The ideal candidate is organized, proactive, and comfortable juggling multiple priorities while maintaining accuracy and professionalism.

Additional Skills & Qualifications

Key Responsibilities

Maintain and organize project documentation, including RFIs, submittals, permits, drawings, and daily reports

Assist with scheduling meetings, coordinating site logistics, and tracking action items

Support onboarding and badging processes for subcontractors and vendors

Prepare and distribute meeting minutes, agendas, and project updates

Track and update logs for deliveries, equipment, inspections, and safety documentation

Assist with procurement tasks such as issuing POs, tracking materials, and coordinating with suppliers

Maintain site office supplies, equipment, and general administrative needs

Communicate with subcontractors, vendors, and internal teams to ensure timely information flow

Support compliance with data center security protocols and documentation standards

Help the Project Coordinator manage deadlines, follow-ups, and project milestones

Required Qualifications

Experience in construction administration, project coordination, or a similar role

Strong organizational skills with the ability to manage multiple tasks simultaneously

Proficiency with Microsoft Office (Excel, Word, Outlook) and document management systems

Excellent written and verbal communication skills

Ability to work on-site in a dynamic, fast-paced construction environment

High attention to detail and commitment to accuracy

Nice to Have

Experience working on data center or mission-critical construction projects

Familiarity with construction management software (Procore, Bluebeam, BIM tools, etc.)

Ability to anticipate needs and support project leadership with minimal supervision

Strong time-management and prioritization skills

Comfort working with cross-functional teams and multiple subcontractors

Interest in growing into a project coordinator or project management roleStrong communcation, schedule will be 40 hours per week. 7:00 to 3:00 or 8 to 4.

This is a Contract position based out of Trenton, SC.

Pay and Benefits

The pay range for this position is $18.00 - $22.00/hr.
