Description We are looking for a detail-oriented Administrative Assistant to join our team in Cincinnati, Ohio. This is a long-term contract position within the dynamic Real Estate & Property industry, offering an excellent opportunity to support daily operations and contribute to the smooth functioning of property management activities. The role is onsite and requires strong organizational and communication skills to manage administrative tasks efficiently.

Responsibilities:

Coordinate and schedule meetings, events, and appointments to support property management operations.

Prepare bid proposals, service contracts, and invoices while ensuring compliance with company policies.

Manage and code invoices for approval by the Property Manager.

Maintain office supplies inventory and ensure availability of necessary items.

Update and manage contract administration software, tracking expiration dates for contracts and insurance certificates.

Monitor property maintenance work orders and prepare monthly status reports for management.

Organize and maintain lease, contract, and other office files for easy accessibility.

Build and nurture positive relationships with tenants and clients, addressing service calls promptly.

Assist in preparing monthly, quarterly management reports, and annual budgets.

Process staff hours, tenant billing invoices, expense reports, and meter readings for review and approval. Requirements - Strong proficiency in both written and verbal communication.

Demonstrated ability to deliver exceptional customer service to internal and external stakeholders.

Excellent organizational skills with the ability to manage multiple tasks simultaneously.

Strong interpersonal skills to foster positive relationships with clients and team members.

Initiative-driven with the ability to work independently and proactively.

Proficiency in Microsoft Office Suite and other relevant software.

Familiarity with accounts payable processes, invoice coding, and contract management.

Experience in preparing budgets and monthly reports within a property management setting. TalentMatch®
