Overview: We are seeking an experienced Legal Administrative Assistant to support attorneys and practitioners within our Patent Practice Group. Key Responsibilities Include: Docket Management & Deadline Monitoring: Maintain and review docket reports, track deadlines, and ensure timely communication of upcoming actions to attorneys and practitioners. Patent Prosecution Support: Assist with preparation and filing of patent documents, including office action responses and related materials, and coordinate post-filing activities. Client & Foreign Associate Communications: Manage, track, and distribute correspondence with clients and foreign associates, and ensure timely and accurate client reporting. File & Document Management: Open new matters and maintain organized electronic files. Billing, Expenses & Administrative Support: Process invoices and expenses, assist with time entry, and support billing setup and tracking. Mail & Reporting Responsibilities: Review and report incoming patent-related mail to clients in accordance with established procedures and timelines. Our Ideal Candidate Will Have: Three plus years of legal patent experience; Familiarity with patent prosecution processes and USPTO procedures; Experience with docketing systems and document management tools (e.g., CPi, iManage or similar); Strong organizational skills with exceptional attention to detail; Ability to manage multiple priorities and meet tight deadlines; Excellent written and verbal communication skills; and Proficiency in Microsoft 365 and legal billing/expense systems. In addition to a highly competitive salary, the firm offers a 37.5 work week and a collaborative, hybrid work environment. The estimated starting annual pay range is $24 - $39/hour. The compensation offered will be dependent on the candidate's experience, skills, education, professional background, overall qualifications, and geographic market location.
