Description

We are looking for an experienced Office Manager to join our team in Arlington, TX. This position is ideal for someone who is attentive to detail and excels in administrative support, office organization, and multitasking in a dynamic environment. As a Long-term Contract role, you will play a vital part in ensuring the smooth operation of the office and supporting staff across various levels.

Responsibilities:

Manage day-to-day office operations, including ordering and maintaining office supplies.

Handle invoicing and accounts payable tasks with accuracy and efficiency.

Provide administrative support to multiple team members, including formatting documents and preparing reports.

Coordinate meetings, including scheduling, ordering lunches, and liaising with external vendors.

Act as the first point of contact for visitors and phone inquiries, ensuring an organized and welcoming environment.

Prepare printed proposals for clients, ensuring they are well-crafted and visually appealing.

Work closely with vendors and external partners on projects such as real estate and water treatment design, ensuring compliance with relevant codes.

Perform routine office maintenance tasks, including stocking supplies and maintaining a clean workspace.

Utilize Microsoft Office Suite tools, including Word, Excel, and SharePoint, to complete administrative tasks efficiently.

Assist in document formatting, applying consistent styles, fonts, and numbering for high-quality presentations.

Requirements - Proven experience in office management or administrative roles.

Proficiency in Microsoft Office Suite, including Word, Excel, and SharePoint.

Strong organizational skills with the ability to multitask and prioritize effectively.

Excellent communication and interpersonal skills to interact with team members and external partners.

Attention to detail in document formatting and preparation.

Ability to work independently while supporting a collaborative team environment.

Familiarity with invoicing and accounts payable processes.
