Administrative Assistant - Design & Construction

Provide administrative coordination to ensure projects under the unit proceed in a timely and efficient manner

Act as a liaison with various internal workgroups to provide support with meeting scheduling and coordination to support Design and Construction (D&C) initiatives

Support the preparation of reports and process flow charts using a variety of computer applications

Support the gathering of information and addressing follow-up questions in result of D&C Bright Idea submissions from general employees

Provide administrative assistance by preparing materials, building and maintaining meeting agendas, taking minutes, distributing meeting minutes, and following up for completion of action items for timely execution

Assist in the development of continuous improvement initiatives

Additional duties as assigned to support the Operational Improvement Unit

7 years of experience as a Secretary of Office Manager with a proficient knowledge of those office programs and procedures

Ability to draft letters, prepare specialized meeting agendas, create spreadsheets, use new software for office use programs and create flow charts in Visio

Organized and process oriented

Reliable follow-through skills

Excellent written communication skills

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and comfort learning Vizio and MS Forms

Clear and professional communicator

Able to work effectively with diverse populations of people in a team setting yet able to work independently within established guidelines

Experience supporting cross-functional teams

Professional discretion when handling internal information
