Primary Responsibilities:
Provide administrative support to the Executive Director of College and Career Development and assist with functions and activities associated within the department, including preparing, updating, and maintaining reports, files, and correspondence, maintaining leave accounting, purchasing card, and general office functions.
Support the Executive Director of College and Career Development by organizing incoming mail and correspondence, telephone communication, and appointment schedule.
Handle routine matters while supervisor is away from the office.
Maintain an effective, friendly, positive, efficient, and organized office environment.
Transform rough draft materials into high quality documents.
Facilitate written and verbal communication, manage multi-tasking effectively, and assure that timeliness and priorities are met and completed.
Ensure the Executive Director of College and Career Development is always informed about issues in a timely manner. Communicate with all parties in a businesslike, professional, courteous, and efficient manner.
Help cultivate a responsive and customer centered climate.
Route incoming and outgoing correspondence accurately.
Arrange meetings, create meeting agendas, maintain calendars, develop minutes of meetings, schedule meeting places, arrange for out-of-town meetings, prepare follow-up correspondence, and evaluate summaries of information and data according to time frames.
Prepare and submit all local mileage related to travel for Executive Director.
Organize overnight travel requests, make hotel and airline reservations, gather receipts, and submit them for reimbursement.
Develop structures and processes to maintain records pertaining to the Department of College and Career Development.
Data collection and input of data relevant to Perkins V compliance and our Comprehensive Local Needs Assessment.
Facilitate communication and monitoring of yearly GCPS Human Resources compliance activities.
Develop and maintain effective cooperative partnerships with other departments, staff members, and advisory groups.
Effective communication with various stakeholders including the Engagement office, Board Services, and the Administrative Assistant to the Chief Learning Officer.
Collaborate with Administrative Assistants from the Division of Teaching and Learning to plan various events and communications.
Prepare recognition documents for monthly Board meetings and schedule JROTC Color Guard Units for presentation of colors and pledge of allegiance.
Support the staff development processes for the College and Career Development Department.
Support Teaching and Learning Assistant for College and Career Development with maintaining accurate professional development opportunities run through the department of College and Career Development.
Provide and organize training opportunities to the support the Teaching and Learning Assistant for College and Career Development.
Maintain information databases for the department of College and Career Development.
Update and maintain Lotus Notes/Microsoft Outlook e-mail groups in conjunction with the Teaching and Learning Assistant for College and Career Development.
Maintain and update a master teacher list by program area.
Create a database of support documents related to various areas of work in the department.
Complete the bi-annual CPI (Certified Personnel Information) report working collaboratively with the Director of Data Reporting and the College and Career Development Financial Specialist.
Maintain office project lists and monitor department assignments, timeliness, and annual schedules requested by the district.
Assist with coordination and preparation of annual events.
Ability to assist with special events including board meetings, Student of the Year banquet, and Professional Development sessions in support of our department.
Develop annual calendar of events for the College and Career Development Department.
Manage and update as necessary the College and Career Development website.
Collaborate with the Financial Specialist for the College and Career Development to support payroll, grants, and stipends.
