Job Title: Administrative Assistant

Location: Welch, MN

Work Schedule: Monday - Friday (Onsite)

Option 1: 6:00 AM - 4:00 PM (4/10 schedule)

Option 2: 7:30 AM - 3:30 PM (5/8 schedule)

Contract Type: Long-term contract

Pay Rate: $24.14/hr

System One is seeking an Administrative Assistant to support operational teams in a Nuclear Plant environment. This role provides administrative and documentation support to the Mechanical, Electrical, and IMC shops by assisting with daily work coordination, reporting, scheduling updates, and documentation management. The Administrative Assistant plays an important role in ensuring work orders, reports, and operational documentation are properly prepared, organized, and tracked to support plant operations and compliance requirements.

Responsibilities

Provide administrative support to shop supervisors and operational teams across multiple departments

Prepare and manage work packages, documentation, and operational reports

Print, verify, and organize work orders, clearance documentation, and qualification records

Maintain schedules and update internal tracking systems related to crew assignments and work orders

Run and distribute operational reports and support daily Plan of the Day preparation

Scan, upload, and maintain completed work packages and documentation in electronic systems

Maintain department tracking spreadsheets and assist with documentation accuracy

Support procedure updates, documentation markups, and administrative preparation for submissions

Assist with preparing outage work packages and supporting operational documentation needs

Maintain organized files and documentation systems based on schedule changes and project updates

Support expense report tracking and other administrative tasks for supervisors

Prioritize multiple administrative tasks while ensuring accuracy and compliance with procedures

Requirements

1-2+ years of administrative or operational support experience

Strong Microsoft Office skills (Excel, Word, Outlook)

Experience managing documentation, reports, and operational files

Strong organizational skills and attention to detail

Ability to manage multiple tasks and maintain documentation accuracy

Strong written and verbal communication skills

Ability to work independently while supporting multiple supervisors

Ability to follow structured procedures and maintain accurate records

Preferred Qualifications

Experience supporting industrial, manufacturing, utility, or energy environments

Exposure to operational reporting systems or work management systems

Experience with SAP or similar enterprise systems

Experience with Concur expense reporting

Experience with Workday or UKG time entry systems

Exposure to nuclear or highly regulated environments
