Full-Time - On-Site

Compensation: $28-$30/hr

About the Role

The Environmental Administrative Assistant provides essential administrative and organizational support to the Environmental Manager, Remediation Project Engineer, and Environmental Operations Specialist at Chiquita Canyon Landfill. This role also supports the broader engineering and environmental teams by maintaining accurate records, coordinating documentation, and assisting with compliance-driven deadlines. This position is ideal for someone who is highly organized, detail-oriented, and comfortable working in a fast-paced, highly regulated environment.

Key Responsibilities

Provide daily administrative support to the Environmental Manager, Remediation Project Engineer, District Manager, and Environmental Operations Specialist.

Organize, maintain, and update electronic and physical file systems, ensuring records are accurate, complete, and easy to retrieve.

Assist with tracking compliance deadlines, required submittals, and recurring reporting timelines, ensuring team members remain informed of upcoming requirements.

Support preparation and compilation of environmental documentation, forms, and reports.

Help coordinate internal workflows and follow-up items related to inspections, monitoring events, and regulatory obligations.

Assist in gathering operational and environmental data needed for reporting or internal review.

Prepare meeting materials, update logs, and assist with scheduling or administrative coordination as needed.

Communicate professionally with internal departments, consultants, contractors, and regulatory partners when obtaining or organizing documentation.

Maintain general office organization for the environmental team, including supplies, shared documents, and administrative tools.

Assist with other administrative tasks or project-related needs as assigned.

Skills & Qualifications

Strong organizational skills and attention to detail.

Ability to manage multiple deadlines and prioritize tasks effectively.

Clear written and verbal communication skills.

Comfort working with digital recordkeeping systems, spreadsheets, and shared drives.

Proficiency with common office software (Word, Excel, Adobe, email platforms).

Ability to work independently while supporting several team members simultaneously.

Strong follow-through and commitment to accuracy.

Ability to maintain confidentiality and handle sensitive information appropriately.

Willingness to learn landfill, environmental, and engineering terminology and processes.

Work Environment

This role is primarily office-based onsite at Chiquita Canyon Landfill, with regular interaction across environmental, engineering, and operations teams. Frequent entry into operational areas may be required for file retrieval or information gathering, with appropriate safety protocols and PPE provided.
