Administrative Assistant/Receptionist-- Wholesale Department

Security Fence Company, a trusted name in fencing for more than 52 years, is seeking a motivated and highly organized Administrative Assistant to support our Wholesale Department and front office operations.

This role plays an important part in keeping our office running smoothly while also serving as the first impression of Security Fence Company for many customers, vendors, and visitors.

This is an active, hands-on role that supports multiple areas of the business and requires someone who enjoys being organized, helping others, and keeping things moving. We are looking for someone who enjoys working in a fast-paced, small-business environment where people wear many hats and step in wherever needed.

Key Responsibilities

Wholesale Department Administrative Support

Assist with costing and job-related data entry

Enter invoices and attach them to corresponding quotes or orders

Monitor department email inboxes and route communications appropriately

Work with the Wholesale Manager and sales staff on order adjustments and/or documentation

Assist with residential and wholesale quotes when needed

Provide general administrative support for the wholesale operations

Supports additional administrative and operational functions beyond the wholesale department when required

Front Desk & Customer Interaction

This role also serves as the front office coordinator, ensuring visitors and callers receive a welcoming and professional experience. Because this role is often the first impression of Security Fence Company, a friendly, professional, positive, and customer-first attitude is essential. The person in this position represents our company to customers, vendors, and visitors every day.

Responsibilities include:

Answer incoming phone calls and direct them to the appropriate department

Greet customers, vendors, applicants, and delivery drivers

Provide job applications to walk-in applicants

Assist customers picking up materials or visiting the office

Distribute incoming company mail

Ensure visitors and customers are acknowledged promptly and assisted professionally

Accounts Payable & Documentation Support

Match invoices with packing slips

Copy and file packing slips

Scan invoices and organize electronic records

Distribute invoices to appropriate departments for approval

Check email or fax for vendor invoices, questions, and discrepancies

Maintain organized records for internal and external documentation

Accounts Receivable & Reporting Support

Assist with the preparation of accounts receivable review reports

Provide reports to the Wholesale Manager as requested

Assist with daily delivery invoices when needed

Track and organize credit/debit memos and related documentation

Financial Logs & Administrative Tracking

Scan and send monthly credit card logs to the corporate office

Track and organize receipts associated with credit card transactions

Verify and match gas receipts with corporate reports

Maintain mileage and fuel tracking logs

Assist with reimbursement documentation when needed

Enter Simple Swipe credit/debit payments as received

Production & Operational Support

Record and track production schedule information

Prepare and organize job documentation and cut sheets

Prepare gate tags for orders and deliveries

Assist with GEO tracker (fleet) updates and attach documentation when required

Maintain organized project files and records

Office & Team Support

Security Fence Company operates as a team, and this position supports multiple departments as needed.

Responsibilities include:

Office supply ordering- Assisting with company mailings or employee distributions

Supporting fellow department team members when they are out of the office

Helping maintain an organized and professional office environment

Prepare and post company social media content

Qualifications

Previous administrative or office experience preferred

Strong organizational and multitasking skills

Excellent communication and customer service abilities

Friendly, welcoming, and professional demeanor

Ability to stay organized in a fast-paced environment

Comfortable working with computers and office systems

Experience with social media platforms is a plus
