Education Qualifications:

H.S. Diploma or General Education Degree or equivalent Required

Bachelor's Degree in related field Preferred

Experience Qualifications:

3 years secretarial/administrative or equivalent acceptable experience Required

Skills Qualifications:

Demonstrated skills in oral and written communication

Demonstrated skills in organization and problem solving

Ability to follow oral and written instructions quickly and accurately

Demonstrated knowledge and skills with computer software, particularly Microsoft Office and Lotus Notes, including skills in typing, word processing, spreadsheets, and graphics

Ability to prepare reports, draft professional business correspondence, and process transactions as directed

Strong calculator and math skills

Ability to detect and correct errors in standard English language usage

Ability to coordinate multiple tasks and priorities

Ability to respond to inquiries and requests from internal and external customers

Ability to record and issue minutes of meetings by computer

Excellent telephone and public relations skills

Ability to analyze existing processes and identify areas for improvement

Ability to act as a representative of Gwinnett County Public Schools

Ability to work across functional boundaries and interact with employees at all levels of the organization

Primary Responsibilities:

Provide administrative support to the Executive Director of Information Security and assist with functions and activities associated within the office.

Perform general administrative duties for the Information Security Office.

*Take and transcribe dictation of various @types including, but not limited to, letters, memos, reports, and minutes of meetings.

*Maintain an accurate schedule of activities for the Executive Director Information Security.

*Prepare various minutes, reports, work orders, memoranda, and purchase orders as needed to maintain the efficient and effective operation of the office to which assigned.

*Develop spreadsheets, graphs, charts, and presentation documents and integrate data from multiple source documents.

Perform general clerical duties.

*Organize and efficiently maintain the files and records for the office.

*Operate various office machines including, but not limited to, copiers and computers as needed to ensure the efficient and effective operation of the office.

*Organize and maintain division office software and reference materials efficiently.

Perform general financial and accounting duties.

*Maintain ledgers, books, financial, and other records accurately and timely as assigned.

*Calculate and prepare reports of financial, accounting, inventory, or other records for which responsible as assigned.

Communicate with other people in a businesslike, courteous, and efficient manner.

*Act as a receptionist both in person and over telephone for the Information Security Office.

*Ensure that correspondence and other documentation sent from the office conforms to standard English usage.

*Utilize telecommunication equipment courteously in the efficient operation of the Information Security Office.

*Route incoming and outgoing correspondence accurately.

Assist the Executive Director Information Security in the operation of the Information Security Office.

*Assist the Executive Director Information Security in assigning work to any secretarial or clerical personnel efficiently.

*Assist the Executive Director Information Security in monitoring, as necessary, materials produced by personnel to ensure accuracy, timeliness, and conformity to system standards.

*Assist the Executive Director Information Security in training, as necessary, any personnel in the efficient and routine operation of the office.

Cooperate with and maintain a positive relationship with all other school system employees.

Assist with new projects as assigned.

Physical Demands:

While performing the duties of this job, the employee is frequently required to sit for extended periods of time. The employee is also required to talk, hear, stand, and walk. The employee may be required to use hands to touch, handle, feel, and/or reach. The employee is occasionally required to stoop, kneel, or crouch. The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, depth perception, and ability to adjust focus. The employee is required to operate a motor vehicle in performance of duties. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.
