About the Role

We're looking for a dedicated Administrative Assistant to join our team and help us continue delivering the level of care our patients and families deserve. In this role, you'll be a vital part of our administrative team, ensuring excellent service, collaboration, and patient outcomes in a fast-paced healthcare environment. In this role you will p rovide assistance for a broad spectrum of activities and initiatives in the Volunteer Services Department and Volunteer Guild such as a strong emphasis on database management, documentation, reporting, scheduling, and promotion of volunteers. As the Administrative Assistant, you will cooperate and collaborate with many internal hospital departments, staff members, volunteers and external audience including vendors.

What You'll Do

Completes Database management: Inputs, updates, maintains and creates necessary monthly, quarterly, annual, and special reports using Volgistics.

Maintains timely, friendly, professional flow of communication in collaborative spirit among Volunteer Services Department staff, Hospital Volunteer Guild, volunteers and Hospital.

Guides new volunteers from post-interview to post-orientation, working with Director to match volunteers with suitable assignment, coordinate training and provide follow up support as needed.

Handles scheduling, coordination, and follow up of Volunteer Guild activities, fundraising events, and vendor sales through annually updating calendar, marketing events, handling of payment forms, and sign-up sheets. Familiarity with Sara Net.

Assists with planning and execution of Volunteer Services Department functions, staff meetings, and special events such as National Volunteer Week, SSOAR, and others as requested. Some events are off-site and outside of regular business hours.

Provide administrative support to Guild businesses: Treasures and the Gift Shoppe.

Communicates information about Language Line and communication services used in hospital. Learn Language Line policy, procedure, and be able to appropriately field issues.

Handle scheduling and follow up with Inpatient Information Desk volunteers daily and be able to appropriately field issues/questions. Fill in at Information Desk when needed. Learn Info Desk Epic and FastPass programs.

Deliver compassionate, patient-centered care in alignment with Saratoga Hospital values

Collaborate with interdisciplinary teams to support health, healing, and service excellence

Perform administrative responsibilities with a focus on safety, quality, and efficiency

Use hospital systems and tools to document care and support operations

Continuously seek opportunities to improve processes and support patient and staff satisfaction

Serve as a positive, professional representative of our hospital and community

What You Bring

High school diploma or equivalent. Previous experience in a volunteer role, Administrative Assistant role, or similar is preferred.

Strong communication and teamwork skills

Commitment to providing patient-first, high-quality service

Comfort working in a fast-paced, collaborative environment
