J Job Title: Administrative Assistant

Pay: $18 - 22/hr

Work Schedule: 7:00 AM - 3:30 PM, with overtime as needed

Work Location: Galveston, TX

Duration: 6 months - 1 year, with potential for extension

Job Summary:

The Administrative Assistant will provide general site support, clerical assistance, and inventory coordination. This role requires strong organizational skills, attention to detail, and proficiency in Microsoft applications.

Key Responsibilities:

General Site Support:

Receive, organize, and file daily reports and paperwork from operations teams, including safety documents and job plans.

Assist staff and supervisors with:

Monthly and quarterly tracking reports

Employee support, such as vouchers, scheduling, and guidance

Other clerical and administrative tasks as needed

Inventory & Business Operations:

Process and review inbound/outbound inventory reports, making necessary corrections.

Collect and review daily operational reports for external communication.

Assist in receiving and logging deliverables or materials into systems such as SAP.

Administrative & Office Support:

Manage front desk duties, including contractor and visitor intake, meeting coordination, and site orientation.

Assist with setting up meetings, taking minutes, and following up on action items.

Occasionally support office supply ordering and event coordination, including catering for employee or vendor functions.

Qualifications & Skills:

Strong computer proficiency, attention to detail, communication, organization, problem-solving, customer service, confidentiality, and time management.

Experience in administrative, clerical, or customer service roles.

Proficiency in Microsoft Office applications, including Excel, Teams, and others.

Bonus: Experience with inventory management, payroll, scheduling, or related systems.
