Hours per Pay Period: 1.00 = 80 hours every two weeks (Non-Exempt)
Starting Wage DOE: $17.00 - $21.25
The incumbent in this position is responsible for performing Foundation/Community Relations building reception, administrative support for Foundation staff and for assistance with foundation campaigns and events. Works closely with the Foundation staff and Accounting Departments to provide data input and coordination of the Foundation fund raiser tracking information system and data base and other donor tracking and communication support needs.
Essential Job Functions
Supports and models behaviors consistent with Billings Clinic's mission, vision, values, code of business conduct, and service expectations. Meets all mandatory organizational and departmental requirements. Maintains competency in all organizational, departmental, and outside agency standards as it relates to the environment, employee, patient safety, or job performance.
Assists the Foundation Leadership and staff in various professional capacities on a daily basis. Works with minimal supervision. Takes appropriate action during the presence and absence of Foundation Leadership and staff members, utilizing initiative and judgment to ensure all matters requiring attention are addressed promptly and effectively, or are brought to the attention of a member of the Foundation Leadership team.
Works diligently to gain an awareness and understanding of Foundation constituents.
Composes, drafts, and prepares correspondence, memorandums, presentation materials, and reports. Performs research, data gathering, and analysis for coordination of various projects requiring independent judgment with minimal supervision.
Coordinates Foundation Board of Directors meetings, including preparation of meeting notices, agendas, and presentation materials, arranging location, catering, meeting requests, invitations, tracking RSVP's, taking minutes, preparing and mailing information packets as directed, and preparing needed materials and equipment for meetings.
Coordinates and maintains the Foundation President's appointment calendar, arranges meetings, including preparation of meeting notices, agendas, and presentation materials, arranges location, catering, sending out meeting requests, invitations, tracking RSVP's, preparing and mailing information packets as directed, preparing needed materials and equipment for meetings, and clearing meals that occur within the Foundation.
Answers multi-line telephone, screens incoming calls, and assists callers whenever possible or directs to the appropriate individual or department as needed.
Develops and maintains effective office procedures and efficient workflow to include telephones, office reception, filing, copying, and faxing documents. Maintains confidential files and data. Maintains office procedure manuals.
Responsible for maintaining the public and service areas of the Foundation.
Provides support for a variety of Foundation-related functions and events.
Maintains all office equipment and coordinates service needs for both the Foundation and Offices located at the Floberg House.
Orders supplies.
Maintains department(s) databases, primary records, manuals, and reference materials. Duties include data entry, system maintenance, data integrity, and coordination with vendor support.
Follows fiduciary procedures of the Foundation.
Generates annual contribution statements for donors to be mailed each January. Coordinates, with the assistance of Foundation staff, an annual report to accompany donor statements.
Posting of gifts to the appropriate general ledger accounts and donor database, and provides information for preparation of the bank deposits.
Preparing acknowledgement letters and receipts for donor gifts.
Performs other duties as needed to meet the needs of the department/organization
Minimum Qualifications
Education
High school diploma or equivalent
Experience
2 Two years of secretarial experience or college course work in communications, computer technology or other related field
2 Two years of progressively responsible experience in coordinating office functions and information management/database maintenance preferably in a development field or college course work in communications, computer technology or related field. - Prior experience must include interactive responsibilities with staff and public.
Typing 60 words per minute
Or an equivalent combination of education and experience will be considered as it relates to the above tasks, knowledge, skills and abilities
