Equitable is looking for and Executive Administration Assistant to support the Actuarial Department. This team member provides high-level administrative and operational support to the Chief Actuary, with extended support to the Senior Actuarial Leadership Team and team members. The role requires strong judgment, discretion, attention to detail, and the ability to manage complex priorities in a highly regulated, fast paced, deadline-driven environment.
What You'll Be Doing
Calendar & Workflow Management:
Manage complex, high-volume calendar for the Senior Actuarial Leadership Team, coordinating with other Administrative Assistants to balance competing priorities, client engagements, leadership meetings, and finance-Actuarial deadlines.
Coordinate meeting logistics, including agenda preparation, material distribution, action-item tracking, and follow-up documentation.
Expense Management:
Manage end-to-end expense administration for Chief Actuary, as assigned, members of Senior Actuarial Leadership Team, including timely submission, tracking, and reconciliation of expense reports.
Review expenses for accuracy, proper documentation, and compliance with company travel and expense policies prior to submission.
Coordinate with Finance, Accounts Payable, and Travel teams to resolve discrepancies, address exceptions, and ensure timely reimbursement.
Track recurring and ad-hoc expenses, maintain supporting records, and provide summaries or documentation for audits and leadership review as requested.
Support budgeting and cost-control efforts by monitoring expense trends and proactively flagging issues or variances to leadership.
Documentation & Records Management:
Prepare, edit, and format actuarial and financial correspondence, presentations, reports, and related materials with a high level of accuracy, confidentiality, and professionalism.
Maintain electronic files and records in accordance with company policies, governance standards, and regulatory requirements.
Data & Reporting Support:
Assist in compiling information for management reports, audits, and leadership reviews as requested by Senior Actuarial Leadership Team.
Compliance & Confidentiality:
Handle sensitive actuarial, financial, and personal information with the highest level of confidentiality and integrity.
Support adherence to internal controls, compliance standards, and record-retention requirements.
Office & Operational Support:
Support Actuarial office operations by coordinating administrative systems, tools, and supplies.
Contribute to special projects, process improvement initiatives, and overflow administrative work related to Actuarial operations.
Team & Relationship Management:
Anticipate administrative needs and proactively support leadership and team priorities.
Build and maintain effective working relationships with other business areas.
Coordinate with team members for event planning and execution.
This position offers a hybrid work schedule, with an on-site presence of 2-3 days per week combining flexibility with team collaboration.
The base salary range for this position is $75,000 - $104,000. Actual base salaries vary based on skills, experience, and geographical location. In addition to base pay, Equitable provides compensation to reward performance with base salary increases, spot bonuses, and short-term incentive compensation opportunities. Eligibility for these programs depends on level and functional area of responsibility.

What You Will Bring
Required Qualifications:
7 years of executive administrative experience supporting C-suite and/or senior executives, ideally in financial services, insurance, and/or banking.
Proficiency in Microsoft 365 (Outlook, Teams, Excel, PowerPoint, Word).
Ability to manage multiple priorities with accuracy and attention to detail.
Demonstrated ability to handle confidential information with discretion.
High degree of professionalism, judgment, and problem-solving capability.
Preferred Qualifications:
Experience supporting actuarial, finance, and/or risk leaders.
Familiarity with actuarial terminology, regulatory reporting cycles, or financial planning processes.
Skills
Interpersonal Relationships: Knowledge of the techniques and the ability to work with a variety of individuals and groups in a constructive and collaborative manner.
Managing Multiple Priorities: Knowledge of effective self-management practices; ability to manage multiple concurrent objectives, projects, groups, or activities, making effective judgments as to prioritizing and time allocation.
Office Administration: Knowledge of office administration activities; ability to carry out ongoing office administration tasks effectively and efficiently in support of local and remote teams.
Problem Solving: Knowledge of approaches, tools, techniques for recognizing, anticipating, and resolving organizational, operational or process problems; ability to apply knowledge of problem solving appropriately to diverse situations.
