MINIMUM REQUIREMENTS:
A high school diploma or its equivalent and six (6) years of administrative or clerical experience;or
An equivalent combination education and experience as described above equaling a total of six (6) years can substitute for the above requirements;or
A bachelor's degree (four (4) years) from an accredited college or university and two (2) years of experience as described above;or
A master's degree (six (6) years) from an accredited college or university can substitute for the required six (6) years of experience.
Requires possession of a valid Driver License.

JOB DUTIES:
Provides support for projects and objectives assigned under the direct supervision of the Bureau Chief. Carries out administrative duties by researching, collecting data, sorting, preparing and proofing correspondence, filing and sending project files to staff and other stakeholders. Responsible for coordinating arrangements for meetings, presentations, seminars and trainings as requested by the Bureau Chief. Ensures timely attendance for scheduled meetings where and when they are needed. Attends meetings as needed with the Bureau Chief and pays apt attention throughout to gather information of items discussed. Works independently in the absence of the Bureau Chief.
Responds to incoming telephone and written inquiries regarding program or administrative regulations, policies and procedures or disseminates inquiries for response. Assists with resolving complaints and questions from stakeholders including written, electronic and telephone communications. Routes calls to the person or office requested. Keeps records of long-distance calls, facsimiles received and messages which cannot be delivered immediately. Answers routine, non-technical questions and refers other questions to proper persons or offices. Serves as an escort for division visitors. Conducts follow-up phone calls daily to ensure positive customer service has been provided to all visitors and customers.
Performs advanced administrative and technical support work for the bureau, including monitoring calendars, determining relative priorities, coordinating work between organizational units of the division, and research as directed by the Bureau Chief. Receives all incoming mail for the bureau. Processes mail promptly and forwards to the correct personnel within the bureau.
Prepares responses to public records and information requests. Ensures public records requests are assigned to the appropriate person, tracked in the designated database and completed as required by law. Assists other Administrative Assistant II when required with entering, assigning, monitoring deadlines, processing responses, and closing civil rights and customer complaints using the division's complaint tracking system.
Provides administrative and clerical support to the Bureau Chief. Arranges conference calls, meetings and schedules appointments as requested. Makes copies of correspondence and other printed matter as needed. Establishes and maintains confidential and administrative files and prepares summaries of data pertinent to the work of the Bureau Chief or the division. Assists with special projects as assigned. Communicates with the bureau staff regarding needs for materials, supplies, and equipment. Furnishes the Assistant Director with information concerning budgetary prices for needed materials, supplies, and equipment, and makes sourcing recommendations in accordance with purchasing policies.
Assists with the emergency management functions of the bureau during disaster. Performs other related duties as required.
