The Minnesota Board of Veterinary Medicine (Board) is a state agency whose mission is to promote, preserve, and protect the health, safety and welfare of the public and animals through the effective control and regulation of the practice of veterinary medicine.
The Licensing Specialist/Administrative Assistant provides administrative support and fulfill licensing and customer services functions for the efficient operation of the Board office. The position serves as the primary interface between board customers and the services the Board provides. Additionally, the position assists the Executive Director and Office Manager with clerical, secretarial, and administrative support. Responsibilities include but are not limited to:
Administer all licensing services for veterinary technicians including applications, renewals, continuing education audits, and other tasks related to the Board's licensing function, ensuring timely and accurate processing.
Respond accurately and professionally to inquiries from applicants, licensees, board members and staff, employers, and the general public.
Process application materials in a timely manner entering them into the appropriate database, verifying documents for accuracy and seeking clarification from applicants as needed.
Create and maintain complete and accurate records.
Provide organizational support services to ensure smooth and efficient operations.
This position may be eligible for a hybrid telework arrangement after orientation and training are completed. With a telework agreement, onsite attendance will be required at 50% of time or as requested by management to meet business needs. Completion of a telework agreement will be required. Minimum Qualifications

Knowledge of communications sufficient to read, explain, and interpret a variety of materials; compose correspondence with accurate spelling, grammar and punctuation; and to communicate effectively with internal and external customers, including the ability to accurately handle confidential data.
Customer service skills sufficient to provide prompt and accurate information to customers in person, on the phone, and through e-mail and other written correspondence and effectively communicate and elicit information with tact and diplomacy.
Knowledge of standard computer software programs for word processing, spreadsheets, and databases sufficient to create, modify and protect files.
Skills in data entry sufficient to enter data into specific fields or into a database management system.
Skills in word processing sufficient to effectively use word processing software such as Microsoft Word to construct and @type letters, memos, reports, and minutes of meetings that are grammatically correct, in proper format and free of spelling errors.
Ability to collaborate with other employees to assist in the use of desktop or website publishing software to effectively produce a variety of agency publications.
Knowledge of math sufficient to maintain complete and accurate financial records and balance and resolve discrepancies in areas like determining eligibility, level of benefits and/or payroll.
Preferred Qualifications
Experience providing administrative support, including processing applications, forms, complaints, etc.
Ability to learn the statutory requirements for veterinary medicine and apply these requirements when reviewing submitted information.
Knowledge of the Minnesota Government Data Practices Act and the ability to differentiate between public and non-public data.
Strong office skills including keyboarding, filing, photocopying, and scanning.
Ability to problem-solve effectively, work under pressure and switch quickly from one @type of activity to another.
Physical Requirements
Ability to work in a seated or standing position for extended time periods.
Ability to regularly use phone and computer for extended time periods
Ability to move/lift items of up to 25 pounds at times.
