Sr. Administrative Assistant

Description We are looking for an experienced Senior Administrative Assistant to join our team in Azusa, California. In this role, you will provide high-level support to two Vice Presidents in the field of organ donation: the Vice President of Transplant Services and the General Counsel. This is a Contract to permanent position ideal for someone who is attentive to detail, thrives in a dynamic environment, and is passionate about contributing to a meaningful cause.

Responsibilities:

Facilitate seamless communication between the Vice Presidents and internal departments, ensuring trust and credibility are maintained.

Manage schedules and keep the Vice Presidents informed of upcoming commitments and deadlines.

Organize meetings by preparing agendas, scheduling rooms, coordinating attendees, and handling logistics such as food delivery and presentation materials.

Handle multiple priorities efficiently, ensuring projects are completed on time and with attention to detail.

Coordinate travel arrangements, including flights, accommodations, and expense management for both Vice Presidents.

Maintain electronic files securely, ensuring confidentiality and proper organization.

Create detailed reports, memos, and presentations using Microsoft Office tools.

Assist in planning educational events, including external speaker coordination and preparation of event materials.

Monitor and record staff compliance with mandatory training and education requirements.

Support ongoing projects and operational needs assigned by both Vice Presidents. Requirements - At least 3 years of experience in administrative support roles.

Proficiency in tools such as Microsoft Excel, Concur, Cisco Webex Meetings, and CRM systems.

Strong organizational and calendar management skills.

Excellent written and verbal communication abilities.

Experience with coordinating complex travel arrangements and expense reporting.

Ability to prioritize tasks effectively and work under deadline pressures.

Familiarity with budget processes and conference planning.
