This job family coordinates, integrates and administers a range of diverse administrative or staff functions. Jobs in this group are typically responsible for managing the daily operations and administrative functions of university departments, and include office management, scheduling, and coordination of activities across departments. UVA Administrative staff support strategic goals and ensure smooth university operations.
These roles are responsible for providing administrative services to the organizations schools/units/leadership. Activities may include preparing documents of varying complexity, managing the collection, recording, sorting and filing of data/information, preparing reports, making travel arrangements, arranging appointments/meetings, responding to inquiries.
ROLE DETAILS
The Home Health Administrative Assistant serves as the first point of contact for patients, families, referral sources, and internal staff on a daily basis. This person plays a critical role in ensuring smooth daily operations by providing front-desk reception, administrative coordination and clerical support to members of the Continuum team. The individual in this role helps maintain an organized, welcoming and compliant office environment that supports high-quality patient care in the home setting.
KEY ROLE RESPONSIBILTIES
Front Desk & Communication
Serve as the primary point of contact for incoming phone calls, visitors, and general inquiries
Greet patients, families, vendors, and staff in a professional and welcoming manner
Route calls and messages appropriately to clinical, scheduling, intake, billing, or leadership teams
Maintain professionalism and confidentiality when handling sensitive patient information
Administrative & Office Support
Provide general administrative support to home health leadership and office staff
Assist with document management, including scanning, faxing, mailing, and electronic filing
Maintain organized records in accordance with HIPAA and agency policies
Support preparation of packets, forms, and materials for clinicians and patients
Operational Support
Assist with tracking office supplies and coordinating reorders as needed
Support orientation logistics for new staff (badges, office access, forms, etc.), as assigned
Coordinates meetings, trainings, or office communications
Serve as a liaison between field staff and office-based teams when appropriate
Data & Systems Support
Enter and update basic information in electronic systems (e.g., EHR, scheduling, shared drives)
Assist with reports, logs, or spreadsheets as requested
Ensure accuracy and completeness of administrative data
ROLE OVERVIEW
Individual contributors who provide support to an organization, often in direct service, operational, technical or administrative functions. Spends majority of time in the delivery of support services or activities, typically under supervision. Opportunities for progression outside this career stream are typically limited without additional education or significant training and experience.

MINIMUM REQUIREMENTS:
Education: High School Diploma or equivalent required.
Experience: 1+ year of relevant experience required.
Licensure: None.
PHYSICAL DEMANDS:
This is primarily a sedentary job involving extensive use of desktop computers. The job does occasionally require traveling some distance to attend meetings, and programs.

The starting base rate for this role is $24.00 hourly. Individual compensation will be determined by the selected candidate's qualifications, previous work experience, and/or education.
