Job Focus Area
The Louisiana Department of Education, Office of Teaching and Learning, is seeking an Administrative Coordinator 4 to support educator certification and background credentialing functions within the Educator Talent & Workforce Development team. This position reports to the Director of Certification and plays a key role in ensuring certification applications are processed accurately, securely, and in compliance with state requirements.

The incumbent of this position will need the following:
Experience working with Google Workspace (Drive, Docs, Sheets) to create, organize, and manage electronic files.
Proficiency with Microsoft Outlook (scheduling and email management) and Zoom (meeting coordination and facilitation).
Prior experience using case management systems or electronic databases for tracking, processing, and retrieving records.
Demonstrated ability to review and analyze sensitive documents, such as employee time and attendance records, criminal background checks, personal identification documents, etc., with accuracy and confidentiality.
Strong data entry and document management skills, including scanning, indexing, and retrieving records in systems such as OnBase or similar platforms.
Experience providing customer service and stakeholder support, including responding to inquiries, clarifying requirements, and resolving issues professionally.
Ability to prioritize and manage workload in a high-volume environment with strict deadlines.
Familiarity with educator certification processes or state regulatory compliance work (preferred but not required).
Demonstrated skill in working independently and with discretion, while also functioning effectively as part of a team.
Strong written and verbal communication skills, especially in preparing clear, accurate responses and documentation.
Minimum Qualifications
Three years of experience in administrative services.
EXPERIENCE SUBSTITUTION:
Every 15 semester hours earned from an accredited college or university will be credited as six months of experience.

Job Duties and Other Information
Job Duties:
Assign and process cases daily to support specialists in certification and background credentialing.
Provide customer service to applicants, school districts, and teacher preparation programs through the certification portal.
Help manage workload distribution based on volume and staff capacity.
Validate Social Security Numbers in the Louisiana Educator Portal
Manage and oversee the team's time and attendance records.
Maintain the team's technology inventory
Purchasing
Schedule and coordinate meetings for the supervisor and staff using Outlook and Zoom.
Position-Specific Details:
Appointment Type: Job Appointment. This position will be filled as a temporary job appointment that may last up to 4 years.
Work Location:The person hired for this position is expected to regularly report to the Baton Rouge office.
Work Schedule: Work hours are Monday - Friday. Work hours will be determined.
Compensation: The salary offered will be determined based on qualifications and experience.
