Accounts Payable Associate

The Accounts Payable Associate is responsible for ensuring the day-to-day accounting related transactions are appropriately and accurately recorded. Also, the Accounts Payable Associate must compile data at the end of each month and year and provide the Accounting Supervisor with this information to be used for various reporting needs.

GENERAL RESPONSIBILITIES:

A/P Reconciling & Follow-up -- Reconcile invoices that are submitted directly to accounts payable, daily FedEx shipping reports, and monthly credit card statements while coding to the proper GL accounts. Run purchasing weekly aged report for debit memo hold audit and make any changes indicated.

Daily A/P Input and Weekly Disbursement - Review invoices for proper GL coding, authorized signatures, and research prior balances. Input invoices into computer system and proof for accuracy. Run weekly A/P select for payment report and select items for payment. Submit select report to Accounting Supervisor for review. Review printed checks and compare them with invoices to ensure correct payment amount, correct vendor name, and address. Mark invoices paid and prepare for mailing.

Organizational Skills - Maintain open invoice files that have been entered into computer system organized by vendor. File paid invoices and maintain vendor's accounts in computer system. Maintain binders for printed reports and archive older binders in accounting storage.

A/P Letters - Research and resolve problems regarding invoices through correspondence, telephone, fax and reconciling monthly statements from vendors. Prepare emails and letters to vendors regarding payments and requests for missing invoices.

Other Duties as Assigned

QUALIFICATIONS:

Associate's degree in accounting or related field is preferred; one year related experience may be substituted in lieu of college degree.

Working knowledge of double entry accounting systems

Working knowledge of windows-based accounting software package, preferably Sage 50

Proficient in Microsoft Excel

Excellent organizational skills

Detail orientated & ability to follow instructions thoroughly.

Operates well in a team environment; Self motivated

Ability to work in a fast-paced environment & maintain high level of confidentiality in handling sensitive matters.
