Key Administrative Assistant Duties:

Phone and Communication:

Answering phones, taking messages, and directing calls.

Scheduling and Coordination:

Scheduling appointments, meetings, and events, and managing calendars.

Correspondence:

Drafting and editing emails, letters, memos, and other correspondence.

File Management:

Maintaining organized filing systems, both physical and digital.

Office Support:

Ordering office supplies, managing inventory, and assisting with general office tasks.

Reporting and Data Entry:

Preparing reports, spreadsheets, and presentations.

Accounts Receivable/Payable:

Assisting with bookkeeping tasks that include but are not limited to taking payments, logging payments into the system, daily and monthly receipt reports, expense tracking, budget management.

General Support:

Greeting visitors, providing information, and assisting with other administrative needs.

Data Entry:

Updating databases, spreadsheets, and other electronic records.

Confidentiality:

Handling confidential information with discretion and professionalism.

Research:

Research parcels, deeds and plats and upload documents into the system.

Processing Transactions:

Accurately handling cash, credit card, and other payment methods, issuing receipts, and making change.

Customer Service:

Greeting customers, answering questions, providing assistance, and resolving customer complaints.

Cash Handling and Reconciliation:

Balancing cash drawers, counting money, and reconciling cash with sales data.

Maintaining Office Area:

Keeping the area clean, organized, and stocked with necessary supplies (includes sweeping, moping and taking out the trash).

Problem-Solving:

Addressing customer issues, escalating concerns, and finding solutions to problems.

Teamwork:

Collaborating with other employees and supervisors to ensure efficient operations.

Computer Literacy:

Using SurveyStars, internet, email, scanning devices, and other technology effectively.
