Description

We are looking for a detail-oriented Administrative Assistant to join a team in Maple Grove, Minnesota. In this contract role, you will play a vital part in ensuring smooth operations, particularly focusing on client onboarding, document management, and scheduling. This position requires strong organizational skills and a commitment to delivering excellent service.

Responsibilities:

Facilitate the onboarding process for new clients by setting up their accounts in internal systems and managing data for existing clients.

Scan physical documents into digital formats and organize them effectively.

Convert image files into usable formats for internal systems.

Deliver forms clients, follow up to secure signatures, and ensure timely completion of processes.

Schedule meetings with staff and coordinate appointments efficiently.

Manage organizers, ensuring they are properly set up and processed from start to finish.

Provide customer service support by addressing inquiries and maintaining positive client relationships.

Monitor and track electronic signatures for important documents.

Assist with general administrative tasks to support daily operations.

Requirements - Proven experience in administrative assistance or a related field.

Proficiency in scanning, data entry, and document conversion.

Strong organizational skills with attention to detail.

Ability to manage scheduling and coordinate meetings effectively.

Excellent customer service skills and clear, detail-oriented communication.

Familiarity with handling sensitive documents and maintaining confidentiality.

Comfortable working in a fast-paced environment with tight deadlines.
