JOB SUMMARY
The Lead provides assistance and support to the Manager in the overall administration of Wyoming Rehab Clinic. Additionally, the lead performs administrative and office support activities to facilitate the smooth running and daily operation of Wyoming Rehab.
ESSENTIAL JOB DUTIES
Clerical:
Greet all guests and staff of Wyoming Rehab with excellent customer service and create an ideal experience for each person
Answer phone calls according to Sheridan Memorial guiding principles and route as appropriate
Schedule patient appointments and give patient copies of their schedules
Act as a liaison between therapy team and HIM to correct errors related to scripts and documentation
Act as back-up for front office lead as needed
Research information for manager and therapy team as needed
Schedule return to work and pre-work clients
Check in patients as they arrive
Perform pre-registration and registration duties for all new patients
Send Plans of Care to physicians, record, and certify in Net Health as appropriate
Scan/upload patient records, signed Plans of Care, etc.
Maintain Art of Chat for cancelations and phone number accuracy
Receive payments for Hoop Jam registrations, fitness center dues, and therapy supplies; record and file appropriately
Discharge patients
Maintain and update front desk therapy forms for staff as needed
Run errands and make deliveries using personal automobile as needed
Attend Huddle
Perform opening and closing duties as indicated
Work with other clerical staff to complete daily tasks in an equitable fashion
Maintain professional appearance at all times
Managerial Support:
Assist Manager with the design and implementation of services that are provided by the Wyoming Rehab Clinic
Supervise and routinely monitor productivity and quality of support staff
Make decisions when Manger is not available
Oversee general office organization
Be available to staff in person or by phone
Maintain schedule for weekend therapy coverage as needed
Take ownership of complaints of patients, staff and internal customers, and follow to resolution
Assist with tracking billing issues, documentation for medical records, coding issues, and discharges
Monitor PTO requests for Manager
Help with computer issues; contacting IT as needed
Oversee clinical scheduling and maintain Net Health accuracy
Ensure the front desk always has coverage
Write, @type, distribute memos, letters, and correspondence as needed
Prepare agenda, record minutes/notes for Huddle as needed
Process/route mail
Prepare and submit various reports, projects, and documents
Prepare/assist with advertisements for marketing/promotions for PT, OT, and SLP
Represent Wyoming Rehab and SMH at meetings as needed
Hoop Jam as needed/requested
Order and maintain supplies/inventory
Personnel Records
Maintain all confidential personnel records, schedules or annual performance evaluations/employee and contract professionals
Establish files for all new employee and contract professionals
Assist with questions on company benefits/direct to HR Department
Monitor job expectations of support staff are carried out
Coordinate with Manager to maintain adequate staffing levels
Assist Manager with recruiting, interviewing, and hiring of appropriate staff or student interns
Assist with New Employee Orientation
Payroll/Timekeeping
Assure that employee time sheets are complete and entered into system before payroll deadline
Keep records of leave taken by all employees according to designated policies and procedures
Maintain employee leave requests
Purchasing/Accounting
Routinely oversee finance records and assist Manager regarding budget, financial, and business issues
Maintain invoices and submit to Accounts Payable in a timely manner
Routinely act as purchasing agent, ensuring compliance with organizational policies in conjunction with Materials Management
Assist with purchasing
Prepare files and maintain purchase orders
Ensure expenditures are assigned to correct account
Assure purchase requests are generated and approved by the Manager
Work closely with Accounts Payable Clerk at the Hospital
Work closely with CFO and finance staff at the hospital
Be responsible for petty cash
Prepare and make deposits to the hospital on a weekly basis
Supervisory Duties and Responsibilities
Provide input to manager on the performance of the Wyoming Rehab team and support staff
Ensure high level of performance standards and achievement to meet organizational needs and business goals
Administer organization policies and procedures
Ensure compliance with safety policies and good housekeeping
Manages initial training of new employees and ongoing training as required
Promotes an environment that fosters teamwork and commitment to satisfying customer requirements.
POSITION QUALIFICATIONS
Education, Experience and License
High school diploma or general equivalency diploma (GED), required
Four (4) years general office experience, strongly preferred.

Experience in Health Care setting preferable.
