This position exists to assist the Physical Plant Director in achieving efficient operation of the Physical Plant Department of MCF-Oak Park Heights. This position serves as information hub for all areas with the department responsibilities extending to collecting and disseminating data and reports, creating work orders, and acting as liaison for the Archibus work order system.
This position is responsible for the B3-Benchmarking energy and recycling usage and tracking, and related support services. This position serves an important role in managing the departments purchase orders and monitoring the shifting budgetary needs.
This position is also BCA Certified and responsible for the background checks and security clearance for all the outside contractors providing facility services.
Minimum Qualifications
To be qualified for and considered for this position, applicants must meet all of the minimum qualifications listed below. Skills in word processing, spreadsheets such as Microsoft Office Suite products sufficient to schedule, compose, create, modify, and save calendars, memos, letters, documents, reports, charts, graphics, presentations, etc.
Ability to effectively communicate in a professional manner internally and with external partners, read, write, prepare, and edit materials, using correct and error-free spelling, punctuation, grammar, and typing.
Database management skills sufficient to maintain, update, and retrieve information from criminal and DOC-specific databases.
Administrative, secretarial, and clerical skills sufficient to apply principles and practices of office management in planning, organizing, and reviewing work and/or information.
Ability to handle multiple tasks / projects simultaneously with a level of confidentiality.
Customer service/human relations skills sufficient to interact with diverse audiences in a professional, respectful, and efficient manner.
Ability to manage time sufficient to meet deadlines and prioritize responsibilities.
Ability to obtain Bureau of Criminal Apprehension (BCA) certification
Ability to maintain confidential information
Ability to design/update and implement new business practices and procedures including new information systems or reports.
Preferred Qualifications
The following qualifications are strongly desired of applicants seeking consideration for this position:
Three (3) years or more of administrative support experience
Familiarity with Archibus or similar work order system
Experience or familiarity with issuing purchase orders or reviewing budgetary documents
Experience working in a skilled trade, construction, or maintenance environment
Experience working in a correctional or other secured environment
Physical Requirements

Additional Requirements
The selection process may include screening the top candidate(s) on their criminal history, predatory offender registration, offender associations and/or other applicable background information in accordance with Department of Corrections' policy. Top candidate(s) must pass a criminal history check which includes successful completion of all sentencing and/or restitution requirements of law enforcement jurisdictions, including probation.
Employment history/reference checks, including incidents of sexual harassment, will also be conducted on the top candidate(s) in accordance with Department of Corrections' policy. This may include a review of job performance and discipline records.
