GENERAL SUMMARY:
We are seeking a highly organized and proactive Education Program Coordinator I to join our dynamic, high-functioning partnership team. The Education Program Coordinator will be based at the Henry Ford Health Detroit campus and will support Henry Ford Health + Michigan State University Health Sciences (Henry Ford + MSU) project managers and other team members. The ideal candidate will possess excellent project coordination capabilities, strong team-orientation, exceptional organizational, time management, and interpersonal communication skills. As the Education Program Coordinator, you will play a pivotal role in facilitating MSU student research and academic project engagement with Henry Ford, enhancing our operational efficiency, and contributing to the overall growth and success of the partnership.
Under light supervision, the Education Program Coordinator performs and/or manages project work of a generally complex nature within and between Henry Ford and MSU, involving coordination of multiple participants and stakeholders. Demonstrates initiative, resourcefulness, and problem-solving skills in working independently to complete projects and assignments. Maintains a high level of responsibility for completion of projects assigned. The Education Program Coordinator may act as a consultant on projects outside of specific assignments.
This position can perform duties in a hybrid work setting, with a blend of in-office and remote work schedule as determined by the supervisor. This position will maintain standard work hours Monday-Friday, with occasional shifts in workdays or hours to accommodate infrequent weekend work in support of programming. The primary office location is Henry Ford Health, Detroit, but may require occasional travel between Henry Ford locations to MSU, East Lansing, which will be considered the work location for that day and is not reimbursable mileage.
PRINCIPAL DUTIES AND RESPONSIBILITIES:
· (40%) Logistic & Operational Support:
o Oversee day-to-day operations of the Henry Ford graduate research and education program.
o Manage student onboarding into Henry Ford systems.
o Oversee implementation of student contract agreements between MSU and Henry Ford including memorandum of understanding (MOU).
o Manage temporary housing arrangements for students at Henry Ford during their rotation period, including application intake/processing and coordination.
o Implement graduate student fellowship processing including application intake, review, and award processes.
o Oversee legal and medical documentation, communication setup, and scheduling for ongoing capstone collaborations in collaboration with Henry Ford Innovations (HFI) team members.
o Develop and implement solutions to improve and streamline current processes and procedures related to project work.
o Safeguard and protect confidential information.
o Perform other duties as assigned.
· (30%) Project Management and Program Coordination
o Project management/coordination activities to ensure all process workflows are being handled within the established time parameters by both internal and outside stakeholders.
o Perform administrative follow-up by keeping track of major projects and assigned tasks.
o Maintain consistent communication, address access or regulatory issues, and ensure timely project execution.
o Implement all graduate student Henry Ford-based research and academic support programming.
o Manage the intake, development/scoping, and approval process for healthcare-based student capstone projects working closely with HFI team members.
o Create and manage budgets related to projects and initiatives and monitor spending.
o Create and manage reports and distribute/present to appropriate parties.
· (15%) Organize Key Events & Meetings:
o Organize and attend regular graduate student journal clubs and socials, including food ordering, making reservations, and other tasks.
o Organize professional and career development events/programming for graduate students and investigators.
o Hold regular 1:1 office hours/meetings for graduate students.
o Coordinate and schedule program orientation for rotating graduate students.
o Organize annual graduate student recruitment weekend tours at Henry Ford and participate in annual MSU-based student tours.
o Provide some event support for capstone student engagements.
· (15%) Facilitate Partnerships & Connections:
o Serve as key contact between Henry Ford + MSU and internal and external stakeholders regarding graduate student research experiences.
o Identify and liaise MSU graduate students interested in completing PhD thesis work in a Henry Ford lab, and Henry Ford investigators interested in taking on students into their labs.
o Regularly check-in and coordinate programming with key research and education team stakeholders including Co-Directors of Graduate Studies at Henry Ford, MSU graduate program leadership, and HFI Education Team.
o Assist graduate program director(s) in development of programming, goals, and objectives.
o Create and manage central informational resources (websites, education materials, etc.)
o Support exploration of partnership growth to other MSU graduate and undergraduate programs.
o Connect Henry Ford staff and appropriate MSU faculty, colleges, and student teams for capstone projects.
PHYSICAL DEMANDS/WORKING CONDITIONS:
Normal office environment with minimal exposure to noise, dust, or extreme
temperatures.
EDUCATION/EXPERIENCE REQUIRED:
· Bachelor's degree in a related field, or the equivalent combination of education and/or experience.
· 1-3yrs relevant work experience.
· Experience working with student support programming and mentorship.
· Experience in event planning/management.
· Experience in university and/or academic setting preferred.
· Experience with student research and education programs preferred.
· Experience with business/administrative processes preferred.
· Strong organizational and project management skills with ability to create, prioritize, and execute multiple tasks and meet established timelines.
· Attention to detail, requiring high levels of accuracy.
· Good interpersonal skills, customer service attributes, and ability to communicate effectively (verbal and written) with internal and external stakeholders.
· Ability to apply problem solving and critical thinking skills.
· Knowledge and skills in Microsoft Office applications (i.e., Outlook, Excel, PowerPoint, Word, etc.) and data management applications.
