ACCOUNTABLE TO: City Clerk/Treasurer
PRIMARY OBJECTIVE OF POSITION: Under general superv1s10n, performs a wide variety of clerical work of moderate complexity. Work varies utilizing judgment within prescribed standards and procedures.
ESSENTIAL JOB FUNCTIONS: Must possess the ability to understand, interpret, and articulate the mechanics of utility billing, meet the public, hear and speak with clarity, and use various office machines. Must possess a valid Montana Operator's License.
PHYSICAL REQUIREMENTS: Lifting up to 35#s (greater with assistance); physical demands are limited involving bending, sitting, stooping, walking. Work is performed in an office; hazards and discomforts are minor and controllable, but may at times be stressful.
MAJOR AREAS OF ACCOUNTABILITY AND PERFORMANCE:
Performs routine office functions including filing, preparation of correspondence, and other materials as needed; prepares monthly utility bills; adjusting bills as may be appropriate; collects and records payments; prepares bank deposits and takes to the bank; maintains cash drawer balance; maintains receivables of all billing with appropriate documentation; prepares past due notices; maintains work orders and other materials related to individual utility accounts; prepares delinquent lists for the City Attorney for collection; prepares a list of accounts for shutoff; monitors the records prepared by the meter reader for utility billing for accuracy and reports discrepancies noted to the supervisor; loads and unloads water meter devises; routes incoming and outgoing mail; operates office machines that may include copy machines, fax machines, telephone, computer equipment, adding machines, credit card machine, the City CB Radio, and postage machines; performs other duties as may be assigned.
Responds to counter and telephone inquiries by answering the questions or by directing the person to the appropriate and responsible party; provides information to the public and to operational personnel; position requires substantial contact with the public and fellow employees where confidentiality is essential; Performs specific Department duties that may include serving as cashier, handling at times large amounts of funds, and initiates routine department operational records and prepares tabulations and summaries; may work with information which is generally limited.
SUPERVISION - RESPONSIBILITY FOR WORK OF OTHERS: None.
EDUCATION, TRAINING, AND EXPERIENCE REQUIREMENTS: Any combination of
training and experience equivalent to graduation from high school including courses in typing, word processing, and other secretarial functions, PLUS two years of office experience. Computer experience desirable. Must possess a valid Montana Operator's License.
