Duties and Responsibilities

This position supports the Chief, Deputy Chief and Section Managers in the Bureau of Accounting. The incumbent will have daily administrative responsibilities of returning unidentifiable customer checks, routing mail and correspondence, mailing warrants, and answering telephone inquiries for the bureau. The selected applicant prepares all paperwork for personnel actions for the bureau such as position descriptions, advertisements, hiring/separation paperwork, and classification packages. This position also procures materials, supplies and equipment for the bureau, and maintains records and files in the interest of the bureau. The incumbent will need to utilize the state's procurement and invoice processing system (MyFloridaMarketPlace) for creating purchase requisitions and payment of invoices. Other duties include preparation of and tracking informational spreadsheets, scanning documents, performing arithmetic calculations, scheduling group meeting in Outlook calendar, and other administrative functions.

Ability to deal with the public in a tactful and courteous manner. Ability to work independently. Ability to communicate effectively, verbally and in writing. Ability to plan, organize and coordinate work assignments. Ability to solve problems and make decisions. Ability to perform basic arithmetic calculations Knowledge of office procedures. Skill in using a personal computer, telephone and calculator. Skill in spreadsheet creation (Microsoft Excel) and analysis. Ability to work with confidential information.

Note

Preference will be given to applicants with experience providing customer service, writing and composing correspondence, reviewing and proofreading documents, and using Excel.

General Information

The elements of the selection process may include a skill assessment and/or oral interview. Applicants being considered for employment will be required to submit to a fingerprint-based background investigation, which will include a check of the criminal history records of the FBI. Fingerprints and associated information/biometrics will be retained in the FBI's Next Generation Identification (NGI) system and fingerprints may continue to be compared against fingerprints submitted to or retained by NGI. FLHSMV employees are paid once a month on the last workday of each month. All state employees are required to participate in the direct deposit program pursuant to s. 110.113 Florida Statutes.
