Purpose
Manage administrative processes to support operations teams in multiple offices, through all phases of business.
Responsibilities
Leadership and Direction
Receive broad guidance from senior-level management relating to overall key objectives, critical issues, new concepts, and policy matters and general parameters for execution. Manage people and processes to ensure effective execution. Review work produced by staff for quality assurance.
At the Operational and Company Level
Serve as liaison to Human Resources, Accounting, IT, and Marketing Departments.
Plan, direct and coordinate administrative services for offices to improve company function.
Participates in long-term planning and recruiting.
Do the Work
Oversee administrative correspondence, including cost proposals and change orders.
Plan and monitor daily operations across multiple offices.
Collaborate with management to identify administrative support needs and develop plan for execution.
Participate in management of projections, budgeting, reporting and data integrity initiatives.
Coordinate the operational sales process through contract execution.
Develop, plan, and coordinate opportunities for team building, team retreats, individual and team recognition, and other events throughout region.
Document procedures and develop training guides to provide cross-team learning opportunities for team.
Improve operational management systems, processes, and best practices.
Train new administrative staff.
Build operational strategies to keep offices functioning smoothly and efficiently.
Lead the effective transition of new offices joining firm through acquisition.
Prepare materials for reports and presentations.
Manage maintenance of file and record systems.
Manage project submittals to various municipalities, utility companies, and government agencies, as well as accompanying applications.
Communicate with clients as needed.

Qualifications
Bachelor's degree preferred, or commensurate relevant work experience.
Five or more (5+) years of experience in an administrative role, including a minimum of two (2) years administrative experience in the land development industry.
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Knowledge of accounting practices and report generation preferred.
Experience with proposal generation preferred.
