Description We are looking for an experienced and detail-oriented Senior Administrative Assistant to join our team in San Carlos, California. This is a Contract position requiring someone with strong organizational and communication skills to support various administrative functions in a government environment. The ideal candidate will excel in managing tasks efficiently and maintaining a high standard of customer service.

Responsibilities:

Process invoices, purchase orders, and accounts payable transactions with accuracy and attention to detail.

Schedule meetings, maintain records, and prepare essential documents to support internal operations.

Assist in the preparation, posting, and documentation of public meeting agendas and minutes.

Coordinate with vendors, contractors, and city personnel to ensure seamless service delivery.

Manage calendars and travel arrangements for staff members and leadership.

Organize and oversee compliance with government programs and contracts.

Handle import/export documentation and ensure adherence to applicable regulations.

Facilitate conference calls and provide logistical support for meetings.

Maintain accurate records and uphold data integrity in administrative systems.

Provide solutions-oriented customer service in interactions with the public and stakeholders. Requirements - Minimum of 3 years of administrative experience, preferably in a government or public-facing role.

Proficient in Microsoft Office Suite, including Word, Excel, and Outlook; familiarity with financial systems is advantageous.

Exceptional organizational and multitasking abilities to manage diverse responsibilities.

Strong verbal and written communication skills to interact effectively with various stakeholders.

Experience with calendar management and coordinating travel arrangements.

Knowledge of government compliance, programs, and contracts is preferred.

Ability to handle invoices and financial documentation with precision.
