This role handles key transactional legal work, including contracts, records requests, administrative rule writing, legislation, scheduling, and records management. Position Overview: As a Legal Secretary, you will: Provide administrative and legal support to the attorneys of the Office of Legal Services. Schedule board meetings and compile administrative records and filings for board review. Provide administrative support during board meetings Provide support in the form of filing, records management and retention, and case tracking. Prepare and edit legal documents and ensure documents reach recipients in a timely manner. Essential Functions: The Legal Secretary will: Attorney Support:Provide administrative and legal support to Office attorneys. Meeting Coordination:Schedule board meetings, compile administrative records, and prepare filings for board review. Meeting Assistance:Support board meetings and manage documentation during proceedings. Records Management:Maintain filing systems, records management, retention schedules, and case tracking.' Document Preparation:Prepare and edit legal documents, ensuring timely delivery to all recipients. Legal Drafting:Assist with contracts, legislation, administrative rule writing, and related legal processes. Subpoena Support:Respond to subpoenas and records requests; file court and administrative records. Compliance Oversight:Ensure compliance with all internal standards and legal procedures. Required Skills and Competencies: Candidates must demonstrate the ability to: Understand legal office procedures and legal terminology or show aptitude for learning quickly. Exhibit proficiency in business English, including composition and grammar. Manage and modernize record retention practices for efficiency and legal compliance. Use Microsoft Office Suite, AdobePro, and Zoom for daily duties. Display strong attention to detail in organization, document preparation, proofreading, and meeting deadlines. Communicate clearly in both written and oral forms; take initiative; practice accountability and sound decision-making. Draft legal documents and correspondence for a variety of stakeholders. Manage multiple shifting priorities and deadlines with minimal supervision. Work diplomatically and collaboratively with internal and external parties. Maintain confidentiality and respond effectively to sensitive or urgent situations. Operate independently, following instructions with little oversight. MINIMUM QUALIFICATIONS (Education and Experience) At least one year of directly related experience or an equivalent mix of professional experience, training, or formal education (certificates, credentials, degrees, or a combination in legal terminology and/or experience in a legal office.
