PURPOSE
Works under the supervision of the Chair for the Department of Psychology & Sociology and provides advanced administrative support work for the faculty and Chair in this department.
DESCRIPTION
Functional Area 1: Administrative
Percent Effort: 30%
Front-line point of contact for the Department of Psychology & Sociology
Answer calls to the department
Greet students and visitors
Schedule meetings and maintain calendars for the Department Chair and shared conference room
Submit work orders for maintenance
Schedule rooms in Astra for special events and classes
Assist the Graduate Coordinator in compiling and organizing documents such as application files, practicum logs, oral exam reports, etc.

Functional Area 2: Operations
Percent Effort: 40%
Prepare course schedules in Banner and process reports from Argos
Confirm faculty textbook adoptions and desk copy orders
Receive and review all faculty syllabi for submission to the Dean's office
Assist in the preparation and processing of catalog and course description revisions
Create Workday documents for the hiring of student workers, graders, graduate assistants, and adjuncts
Hire, train, evaluate, and supervise department student workers
Receive transcripts and prepare documents for faculty credentialing
Assist in scheduling of faculty search events
Arrange and/or assist departmental travel (faculty, student, incoming guests) using Emburse
Assist faculty and Department Chair with organizing special events, to include purchasing, catering, campus announcements, invitations, and registration
Create reports as needed from Interfolio for Chair and Dean's office
Maintain communication with department faculty
Coordinate with faculty Principal Investigators (PIs) in the timely initiation of processes that relate to the PI fulfilling the requirements of their awards and grants
Functional Area 3: Budget
Percent Effort: 30%
Assist with department fiscal activities, such as purchasing, Pcard, and reconciling accounts using advanced spreadsheets and/or databases.
Set up vendors for payment using Substitute W9, Quote for Services, and entering Purchase Orders in IslanderBuy
Order office supplies
Keep department chair informed and updated on account activity and balances
Assist in processing student awards and tracking account balances
Assist in updating the PIs, Grants Administrator, and Business Office to maintain effective communication
QUALIFICATIONS
High School Diploma
Four (4) years administrative support experience
Advanced skills in Microsoft Office Suite
Excellent written and verbal communication skills
Positive attitude
Ability to work independently and efficiently with minimal supervision
Ability to work in a fast-paced environment
Excellent attention to detail
PREFERRED QUALIFICATIONS
Experience in Banner, Argos, Ad-Astra, IslanderBuy, Laserfiche, Emburse, and Workday
Two (2) years office management experience
Advanced skills in Adobe
University experience
Bachelor's Degree in a related field
SALARY $17.00 - $17.50 Hourly ($35,360 - $36,400 Annually Approximately )
