Job Summary and Qualifications
The Administrative Assistant provides high-level administrative and operational support to clinic. This position serves as the primary liaison for internal and external stakeholders-including implant companies, attorneys, vendors, hospitals, departments and referring physicians-ensuring that all communications, schedules, and documentation are accurate, timely, and handled with the highest degree of professionalism and discretion.
Key Responsibilities:
· Provide comprehensive administrative and clerical support to physicians, including preparing, typing, composing, and proofreading correspondence and clinical documents.
· Manage and synchronize physician calendars (clinical, surgical, personal, and travel), ensuring all obligations are aligned and conflicts are proactively resolved.
· Act as the primary contact for implant companies, vendors, legal partners, and professional colleagues, representing the physicians with professionalism and accuracy.
· Coordinate and facilitate Zoom, Webex, and in-person meetings, including invitations, supporting materials, and technical setup.
· Handle incoming calls, faxes, mail and correspondence, routing appropriately and ensuring all communications are documented and indexed correctly.
· Compile and summarize data for reports, metrics, and project tracking; maintain accurate records in alignment with clinic standards.
· Assist in the development and implementation of budgets, office procedures, and operational plans, ensuring efficiency and compliance with organizational policies.
· Monitor and maintain office supplies and equipment, ensuring readiness and adequacy for daily operations.
· Assist in scheduling referrals, new patients, and rescheduling patient appointment.
· Coordinate all physician travel and conference/events logistics, including registration, itinerary management, lodging, transportation, and presentation materials; ensure all related invoices, reimbursements, and documentation are processed accurately and on time.
· Assist with invoicing, reimbursement, and reconciliation in coordination with accounting and administrative leadership.
· Collaborate with colleagues and leadership to support a high-performing, patient-focused environment.
· Maintain strict confidentiality of patient, physician, and organizational information.
· Practice and adhere to the Code of Conduct philosophy, Mission, Vision, and Values in all interactions and decisions.
· Perform other duties as assigned in support of the practice, leadership, and its physicians.
Knowledge, Skills, and Abilities:
· Strong understanding of business administration functions and workflows.
· Advanced proficiency in Microsoft 365 (Outlook, Excel, PowerPoint, Teams, SharePoint), Adobe Acrobat Pro, and Windows-based systems.
· Demonstrated organizational and problem-solving skills, with the ability to manage multiple high-priority tasks efficiently and accurately.
· Proven ability to work independently with minimal supervision, taking full ownership of responsibilities and following through to completion.
· Exceptional critical-thinking and decision-making skills with the ability to proactively anticipate needs.
· Demonstrated adaptability and resilience in a fast-paced, high-volume environment with frequent changes and tight deadlines.
· Strong interpersonal and communication skills, with the ability to build and maintain positive relationships with physicians, staff, vendors, and external partners.
· Professional written and verbal communication, including the ability to draft correspondence, compile summaries, and prepare polished presentations.
· Ability to maintain a positive and composed demeanor under pressure, balancing multiple priorities without compromising quality.
· High commitment to confidentiality, discretion, and integrity in handling sensitive information.
· Skilled in the operation and maintenance of standard office equipment (printers, copiers, fax machines, scanners).
· A proactive team player who contributes to a culture of collaboration, accountability, and continuous improvement.
Preferred Experience:
· Previous experience as an Administrative Assistant supporting senior executives or physicians in a high-level, fast-paced environment.
· Background in healthcare administration, medical specialty, or surgical practice preferred.
· Experience with EHR or practice management systems (e.g., Centricity/Anthea) is a plus.
