Description We are looking for an organized and personable Receptionist to join our team in Richmond, Virginia. This role is essential in ensuring smooth front-office operations and supporting administrative functions across the organization. The ideal candidate will bring attention to detail and excellent communication skills to create a welcoming experience for clients and staff.

Responsibilities:

Welcome clients, guests, and staff with a friendly and detail-oriented demeanor.

Direct visitors to appropriate personnel, meeting rooms, or departments as needed.

Manage incoming calls by answering, screening, and forwarding them in a timely and courteous manner.

Schedule appointments, coordinate meetings, and maintain conference room calendars.

Handle mail distribution, deliveries, and courier services efficiently.

Keep the reception and conference areas clean, organized, and presentable.

Perform administrative tasks such as data entry, scanning, photocopying, and filing sensitive documents.

Assist attorneys, paralegals, and office staff with special projects and tasks.

Uphold strict confidentiality regarding all firm matters and client information. Requirements

Previous experience in a receptionist or administrative role.

Strong verbal and written communication skills with the ability to interact effectively with a variety of stakeholders.

Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with office technology.

Exceptional organizational skills with keen attention to detail.

Ability to multitask and prioritize tasks in a fast-paced environment.

Well-groomed appearance and demeanor, reflecting the values of the organization.

Commitment to maintaining confidentiality in handling sensitive information.
