Administrative Assistant
This position offers administrative support to middle and upper-level managers and their teams in the Transmission Planning and Transmission Policy and Services Departments. The Transmission Planning department oversees coordinated transmission planning for the Southern Operating Companies. Responsibilities include developing transmission expansion plans, maintaining reliable transmission interfaces, supporting generating resource planning, providing technical expertise, ensuring compliance with NERC reliability planning standards, and representing Southern Company in industry groups. The Transmission Policy and Services department manages the Open Access Transmission Tariff (OATT) for Southern Company and coordinates responses to initiatives from the Federal Energy Regulatory Commission (FERC), Department of Energy (DOE), and other agencies regarding orders, regulations, and rulemakings. This group leads and addresses transmission-related regulatory and policy matters that affect the company.
This position involves regular use of technical and business vocabulary, as well as a working knowledge of organizational operations, procedures, and personnel.
JOB REQUIREMENTS
High school diploma required; associate or bachelor's degree is desirable.
Minimum of 2 years' experience in an administration assistant role or relevant experience.
Ability to use Microsoft Office products including Outlook, Word, Excel, and PowerPoint.
Ability to work independently on routine administrator tasks using business office systems for processing expense accounts, timekeeping, and managing various other responsibilities.
Possess good interpersonal, communication, and organizational skills.
Capable of making sound decisions within job scope with minimal supervision.
Flexible and organized.
JOB RESPONSIBILITIES
Proactively manage access to General Managers (calendar, cell phone, etc.)
Coordinate travel and meeting arrangements including schedules, facilities, and catering as requested, for management within Trans Planning and Trans Policy & Services departments
Perform or support timekeeping activities for Transmission Planning and Policy & Services teams
Be proficient in Oracle financials and HR application to effectively process invoices, expenses, time keep, etc.
Periodically review department charges to ensure fair and appropriate pricing (telecom, supplies, coffee, etc.)
Organize and maintain administrative records, efficiently utilizing filing space and observing appropriate retention requirements
Administer document storage and retention of records
Procure and organize office and printer supplies
Maintain office equipment inventories and coordinate maintenance needs with building services
Assist as requested in developing documents, presentations, and other work products
Provide support as requested to aid planning and policy activities (copy, distribute, file, transmit, etc.)
Respond to customer requests for access to interconnection study reports
Serve as the primary contact for I-9 verification within the department(s)
Serve as the Disclosure Controls and Procedures (DCP) delegate for TP and Policy GMs
Assist in coordinating interview packets, interviews, and job announcements etc.
Assist in producing training materials and coordinating training classes as needed
Ensure timely and accurate messages to department personnel
Arrange for offices, equipment, access, etc. to help new employees onboard
Coordinate/assist with recurring meetings and employee recognitions (birthdays, anniversaries, Lunch n Learn, etc.); assist with creating presentations as needed
Support Transmission Planning Employee Engagement team and System Planning employee teams as needed
Assist other admin assistants as needed
