Description We are looking for a skilled Administrative Assistant to join our team on a contract basis in Bermuda Dunes, California. In this role, you will be responsible for ensuring the smooth functioning of the front office by managing daily administrative tasks with efficiency and a detail-oriented approach. This position requires excellent organizational skills, attention to detail, and a customer-focused attitude.

Responsibilities:

Welcome visitors, clients, and employees with a friendly and detail-oriented attitude, ensuring they are directed to the appropriate person or department.

Organize and manage schedules, appointments, and conference room bookings to maintain an efficient workflow.

Perform clerical tasks such as data entry, filing, and maintaining records to support office operations.

Handle incoming and outgoing mail, packages, and deliveries promptly and accurately.

Monitor inventory levels and order office supplies to ensure a well-stocked and organized workspace.

Maintain and update visitor logs, databases, and other records to ensure accurate documentation.

Enforce visitor check-in procedures, including ID verification and compliance with office policies.

Assist with general office tasks, providing support to team members as needed. Requirements - High school diploma or equivalent; an associate degree is preferred but not mandatory.

At least one year of experience in a receptionist or administrative role.

Exceptional organizational skills and the ability to multitask effectively.

Strong verbal and written communication skills.

Customer service mindset with the ability to handle interactions with professionalism and patience.

Familiarity with scheduling software or office management tools is advantageous.

Reliability, punctuality, and the ability to maintain confidentiality.
