Administrative Clerk - Central Library

JOB REQUIREMENTS: Job Summary All applicants MUST submit both a resume AND a cover letter to be considered. The Administrative Clerk performs a variety of clerical duties to support the daily operations of the library including handling incoming, outgoing and interoffice mail, ordering and storing office supplies, photocopying, receiving goods, cash handling, recordkeeping, records management and retention, and operating a variety of office equipment. Typical Schedule: Mondays - Thursdays: 9:00 am - 2:00 pm Essential Duties 1. Assist with Financial Recordkeeping Perform online Receipt of Goods function for library invoices Assist with weekly deposit Store and/or shred financial records annually Scan credit card statements 2. Assist with Record Management and Retention Maintain up-to-date and accurate personnel records, maintaining confidentiality of all records Update and refile records for staff no longer employed by BCL for appropriate retention Confidentially dispose of records when retention expires 3. Distribute mail Sort and distribute incoming mail Meter and sort outgoing mail Prepare and process bulk mailings, including delivery to post office Monitor postage balance on bulk account 4. Monitor office supplies inventory Fill office supplies requests from departments and branches Order, track and distribute replacement supplies for mailroom equipment Process photocopy, lamination and label requests Post internal and external flyers, leaflets, and brochures as directed by Administrative staff 5. Support the mission and strategic goals of the Library Cover the desk of Administrative Associates and answers phones Work with volunteers Attend and participate in staff and department meetings, as well as training sessions Perform other related duties as needed or assigned ** OTHER EXPERIENCE AND QUALIFICATIONS: Perform repetitive, routine procedures Identify changes in the Library environment (such as equipment out of order, unfilled displays, out-of-date signs or fliers, etc.) and make corrections or notify appropriate staff Maintain the confidentiality of all administrative matters Demonstrate basic knowledge of library operations, services and materials Effectively administer Brown County Library policies and procedures Assess users\' needs and provide consistently exceptional customer service Identify problems and take action to develop appropriate solutions, or refer to a supervisor when necessary Effectively coordinate and direct the work of others Maintain a calm demeanor under stressful or unsettling circumstances Demonstrate strong verbal and written communication skills Perform accurate accounting tasks, cash handling and create deposits Represent the Library in a responsible, professional and trustworthy manner Establish and maintain cooperative and courteous working relationships with staff and the public Work independently with minimal supervision Appropriately multitask and prioritize Work efficiently while paying close attention to detail Follow detailed verbal and written instructions Meet the flexible scheduling needs of the Library Adapt to changes in the work environment Effectively use general office equipment and software, including computer, printer, photocopier, telephone, cash drawer, audio-visual equipment, word processing, and email Demonstrate proficient technology skills, including working with library specific software ** APPLICATION INSTRUCTIONS: Apply Online: https://www.governmentjobs.com/careers/browncounty
