Description

We are seeking a highly organized and detail-oriented Administrative Assistant to support our client in St. Helena with day-to-day operations. The ideal candidate will be proactive, professional, and capable of managing multiple tasks efficiently in a fast-paced environment.

Key Responsibilities:

Provide administrative support to ensure efficient operation of the office.

Answer and direct phone calls, emails, and other correspondence.

Schedule meetings, appointments, and manage calendars.

Prepare reports, presentations, and other documents as needed.

Maintain filing systems, both electronic and physical.

Order office supplies and manage inventory.

Assist in the preparation of regularly scheduled reports.

Handle sensitive information in a confidential manner.

Coordinate with other departments to ensure smooth workflow.

Perform other related duties as assigned.

Requirements

Qualifications:

High school diploma or equivalent; associate's or bachelor's degree preferred.

Proven experience as an administrative assistant or office admin assistant.

Proficiency in MS Office (Word, Excel, Outlook, PowerPoint).

Excellent time management skills and ability to multitask and prioritize work.

Strong organizational and planning skills.

Attention to detail and problem-solving skills.

Excellent written and verbal communication skills.

Ability to work independently and as part of a team.

Preferred Skills:

Experience with office management software (e.g., Google Workspace, QuickBooks, or scheduling tools).

Familiarity with basic bookkeeping and HR procedures.

Bilingual abilities are a plus.
