The Role
This role is critical to supporting the operations of the tax department and its team members. Responsibilities include operational support of the tax team, tax filing processes, department invoicing support, tax department and certain finance leadership support, including calendar management, travel coordination, and expense processing. The role also includes coordinating tax department meetings and supporting team communications. The ideal candidate is detail-oriented, skilled in managing multiple priorities, and thrives in a fast-paced, collaborative environment.
-Provide Tax Department Leadership support focusing on maintaining business and personal calendars, processing expense reports, and managing signature requests for the SVP
-Manage all aspects of travel arrangements for the tax leadership team travel, providing detailed drip itineraries.
-Support two additional Finance Leaders in processing their expense reports and additional request, as required.
-Coordinate Tax Department meetings, including agenda preparation, content compilation, communication, catering, and logistics.
-Maintain department organizational charts, department calendar, and e-mail distribution lists.
-Manage new hire onboarding process (e.g., systems, IDs, workspace setup, etc.)
-Manage tax department subscriptions and team access (e.g., Checkpoint, Bloomberg, etc.)
-Manage tax department mail, permanent tax files, and maintain supplies for the team.
-Support tax department budget process, including tracking of budget vs. actual spend, invoice management and processing, tax payment processing, vendor relationships, and coordinate with advisors on billing, etc.
-Support processing and filing of tax returns, including certified mail submissions.
-Manage and process basic entity filing requests (e.g., SS-4 FEINs, W-9s, etc.)
-Maintain tax legal entity organizational charts.
-Provide notary support for documents, as required.
-Work independently on special projects
-Requires strong organizational and project management skills.
-Detail-oriented with a strong sense of ownership and follow-through.
-Excellent communication and interpersonal skills and an ability to manage sensitive information with discretion
Qualifications:
Experience Required:
-5 years of experience in administrative, coordinator, or paraprofessional ideally supporting a corporate tax or finance function. Experience supporting other functions and or industries considered.
Experience Preferred:
-Bachelor's degree preferred
-Strong oral and written communication skills required
-Notary preferred
-Experience with Microsoft Office Suite (Excel, PowerPoint, Outlook, Word) required
-Experience with financial systems (Oracle, MarkView, or similar invoice processing tools) preferred
-Experience processing basic entity informational tax forms (e.g., Forms SS-4, W-9, W-8BEN, etc.) preferred

The hourly rate for this position is $27.90/hour to $34.87/hour. This position is also eligible to earn overtime, shift differentials and premium pay under certain circumstances.
The final pay rate offered to the successful candidate will depend on experience, skill level and other qualifications for the role, as we well as the location of the performance of work. Pay for the successful candidate will meet local requirements, including the local minimum wage rate.
