This position is responsible for providing administrative support to the Office of Admissions. They are often the first point of contact for applicants, visitors, and internal stakeholders visiting the Office of Admissions. This position will support the full admissions process in the School of Dentistry by coordinating complex meetings and events, securing faculty admissions interviewers, and serving as a point of contact for applicants and interviewers throughout the process. This position is primarily on-site with occasional remote work available. Duties/Responsibilities Administrative Support 40% Provides administrative support to the Office of Admissions (email, calendering, etc.) Responsible for creating a welcoming atmosphere; greets and assists visitors, students, and employees when they enter the Office of Admissions Manages access to application systems (AADSAS, BOX, Google Shared Drive, etc.) and performs access reviews every 6 months Supports DDS and DH and DH/DT admissions interviews by recruiting interviewers, coordinating training, and managing room reservations, access, and meal orders. Manages initial applicant communication via phone and email Provides basic application troubleshooting and appropriately escalates application issues as needed Creates and distributes office mailings such as special events announcements, etc. Partners with other SOD staff and units including IT, Engineering, Facilities Management to coordinate interview support as needed Maintains key inventory for the Office of Admissions Provides direct supervision of student workers for assigned administrative tasks Financial and Operational Duties 35% Follows appropriate finance procedures to create and process requisitions and purchase orders, verify invoices, manage purchasing card expenses, and process travel reimbursements. Regularly updates the Administrative Financial Accountant on the financial status of the Office of Admissions. Partners with Finance and Admissions staff to resolve any finance related issues or discrepancies Collaborates with Finance and the Office of Student and Resident Affairs to document and reconcile application fees and tuition deposits and transfer deposits to student accounts. Researches and purchases equipment Orders and maintains inventory of office supplies and admissions materials Activities and Events 15% Supports planning and execution of admissions related events including recruitment events and college career fairs Coordinate travel arrangements for recruits including hotels, flights, parking, car rentals, and reimbursements Partners with Parking and Transportation Services to arrange on-site parking privileges for meeting and event participants Works with Classroom Management (25Live) to reserve rooms and complete required documentation Manages food ordering for recruitment events and interview days Orders and disseminates materials for recruitment events Other administrative duties as assigned 10% Qualifications Required Qualifications High School Diploma/GED and four years of related office experience Previous administrative experience Excellent verbal and written communication skills Experience communicating with diverse populations Ability to maintain consistent and reliable attendance Preferred Qualifications: Strong interpersonal, organizational, and problem-solving skills Ability to independently prioritize work Ability to handle confidential material Experience assisting with meetings and event planning Proficient with CRM platforms (e.g. Slate, Salesforce) Knowledge of PeopleSoft About the Department The University of Minnesota School of Dentistry is the state's only dental school and the only dental school in the northern tier of states between Wisconsin and the Pacific Northwest.
