Administrative Assistant II - Fire Dept.

: 1) Perform all necessary administrative duties related to Fire Department, and Emergency Management department;
2) Complete forms, statements, letters, or memos prepared for signatures as assigned by Supervisors;
3) Establish and maintain filing system;
4) Attend training as required to gain additional knowledge;
5) Assists the public with questions concerning policies and procedures in person and by telephone;
6) Create reports, spreadsheets, letters, and forms as needed;
7) Operate various office machines and equipment to include personal computer, calculator, copier, overhead projector, and smart board;
8) Maintain fire documentation that will be inspected yearly by the Texas Commission on Fire Protection;
9) Assist in obtaining quotes for equipment purchases;
10) Responsible for maintaining daily, monthly, and yearly reports and assuring that these reports are filed with the proper state agencies;
11) Assist in assuring that all continuing education hours are met by Fire Department personnel;
12) Assist fire personnel with maintaining current EMT certification;
13) Assist fire personnel with TCFP certifications;
14) Assist with TIFMAS deployments and prepare reimbursement packages for TIFMAS deployments in a timely manner;
15) Provides staff assistance and manages mail, correspondence, and telephone traffic for the Fire Department, Assistant Chiefs and the Emergency Management offices, while maintaining confidentiality of all correspondence;
16) Answers inquiries from industrial prospects including the preparation of hydrant flow information;
17) Prepare for and attend meetings as directed by Fire Chief, Assistant Chiefs and Emergency Management Coordinator;
18) Coordinates appointments, meetings, training, and travel arrangements for Fire Chief, Assistant Fire Chiefs and Emergency Management Coordinator, as well as fire personnel;
19) Coordinate scheduling of station tours;
20) Coordinate scheduling of Brownwood Fire Department Training Facility;
21) Coordinate with the Assistant Chief with Fire Prevention tours, meetings, assemblies, and educational materials;
22) Maintains departmental personnel files, training files, and certification files;
23) Maintain TIER II files;
24) Extensive data entry to ESO;
25) Performs all other duties assigned by supervisors; 26) Assist with social media.
