Receptionist: Key Responsibilities
Greet Visitors and Manage the Front Desk
Serve as the first point of contact for all visitors and callers, ensuring a welcoming
and positive experience.
Answer and professionally route incoming calls, taking clear and accurate
messages when needed.
Maintain a clean, organized, and welcoming reception area, ensuring it's
well-stocked with brochures and materials.
Manage security by issuing and tracking visitor passes.
Provide Administrative and Operational Support
Handle all incoming and outgoing mail, packages, and deliveries with precision.
Assist with scheduling meetings and managing calendars for key staff members.
Provide general administrative support, including data entry, filing,
photocopying, and scanning.
Assist with the coordination of events, workshops, and community sessions.
Maintain record of Sign in sheets for employees , interns and volunteers.
Uphold the Mission of a Grassroots Non-Profit
Serve as a bridge between the community and the organization by answering
general inquiries about our mission, services, and upcoming events.
Demonstrate a deep understanding of our work and a commitment to our
community.
Connect individuals to the appropriate program or staff member, showing
empathy and patience with every interaction.
Handle all interactions with respect and confidentiality, especially when dealing
with sensitive information related to our clients.
Enhance Internal and External Communication
Serve as a primary point of contact for internal staff, external clients, and key
partners.
Collaborate with other departments to ensure smooth administrative processes
and effective information flow across the organization.
Assist in maintaining accurate and up-to-date records of clients, visitors, and
appointments to support our data-driven work.
Help prepare and format documents, reports, and presentations as needed to
support our advocacy and grant reporting efforts.
Job Type & Salary
Job Type: Full-Time, occasional evenings required for events.
Salary: Commensurate with experience ($42,000-$45,000).
