Job Description
The Administrative Coordinator II, under general supervision, provides advanced administrative support to the Dean of the College of Business. This position coordinates office operations and activities, manages confidential and financial records, assists with planning and execution of college events and programs, and serves as a key liaison with university departments, faculty, staff, students, and external stakeholders. The position exercises discretion and independent judgment with respect to matters of significance and contributes to the efficient and effective operation of the Dean's Office.
The salary is determined in accordance with the University's compensation structure and will be commensurate with the candidates' education and experience, within the assigned salary range for this position.
Responsibilities:
Provides comprehensive administrative support to the Dean, including managing calendars, meetings, correspondence, and travel arrangements. Coordinates reimbursements and reconciles expense reports using the Emburse Expense System.
Plans and coordinates meetings, conferences, and special events for the College of Business, including scheduling dates and venues, preparing agendas, recording minutes, ordering meals, and following up on action items.
Oversees the daily operations of the Dean's Office, ensuring adherence to established university and college procedures. Serves as the primary office contact and liaison with internal and external stakeholders.
Manages and maintains both physical and digital records to ensure accessibility, accuracy, confidentiality, and compliance with university retention policies. Tracks and routes documents for review and approval by the Dean.
Assists in the preparation and monitoring of budgets, including processing budget transfers in Canopy, tracking expenditures, reconciling accounts, and maintaining financial documentation.
Coordinates purchasing and payroll activities, including creating requisitions in AggieBuy, processing transactions in Workday, and ensuring compliance with procurement and financial policies.
Supervises and trains student employees, assigning tasks, reviewing work for accuracy, and evaluating performance. Provides functional guidance to other administrative support staff as needed.
Serves as a liaison between the College of Business and other university administrative units such as the Office of the Provost, Human Resources, Procurement, and Contracts, facilitating effective communication and issue resolution.
Assists with building coordination by preparing work orders for maintenance and supporting classroom and conference room scheduling.
Supports special college programs and initiatives (e.g., Summer Banking Academy, CPA Bootcamp) by coordinating logistics such as housing, meals, travel, and participant materials.
Develops and maintains SharePoint resources, coordinates survey development and distribution, and assists with event-related marketing using tools such as Canva and Microsoft Office applications. Performs data management and reporting tasks to support college planning and operations.
Performs other duties as assigned.
Required Education and Experience:
Bachelor's degree or equivalent combination of education and experience.
Three years of related administrative experience.
Required Knowledge, Skills, and Abilities:
Knowledge of word processing, spreadsheet, database, and presentation applications.
Knowledge of administrative procedures, budgeting, purchasing, and personnel processes.
Skill in using tools such as SharePoint, Canva, survey software, and data management applications.
Ability to plan, organize, and coordinate complex administrative functions and events.
Ability to manage multiple priorities, exercise discretion and sound judgment, and maintain confidentiality.
Strong interpersonal, written, and verbal communication skills.
Ability to supervise and train student workers and provide functional direction to support staff.
Ability to work cooperatively and collaboratively with others in a fast-paced academic environment.
Preferred Qualifications:
Experience in higher education administration.
Familiarity with university systems such as Workday, Canopy, AggieBuy, and Emburse.
Experience with data tracking, reporting, and document management tools.
