What You Will Do
This position will be filled at either the Administrative Assistant 2 or 3 level, depending on the skills of the selected candidate.  Additional job responsibilities (outlined below) will be assigned if the candidate is hired at the higher level.
Sigma Division Office is seeking a highly motivated, energetic, customer-focused individual to provide entry-level support to the administrative support team.  The successful candidate will report to the Sigma Division Staff Operations Manager and will assist in meeting the office needs for the Division and Group Offices.
The successful candidate will be given the opportunity to learn basic office functions with the support of senior administrative assistants with the goal of starting a professional career that developes over time. This person should have good communication skills, be willing to take on a variety of different office tasks and understand how to handle personnel and sensitive matters with tact and discretion.
Administrative Assistant 2 $44,000-$68,100
Supporting other admininstrative assistants in general office duties
Tracking organizational deadlines and general action items
Maintain correspondence logs by tracking, reporting and uploading in established systems
Basic calendar management
Conference room management
Mail distribution
Serve as an escort to visitors and uncleared personnel
Coordinate basic domestic travel arrangements and reimbursements
Administrative Assistant 3 $48,500-$75,000
In addition to what was outlined at the lower level, at this level duties may include:
Meeting content preparation
Ordering and stocking office supplies
Act as a timekeeper for an organization
Serve as a back-up key custodian
Process and records management
What You Need
Minimum Job Requirements:
Demonstrated ability to work in a team environment
Demonstrated organizational skills
Demonstrated task management skills (managing something from start to finish)
Knowledge of basic calendar management
Excellent communication skills
Basic knowledge of MS Office Suite (Word, Excel, Outlook, SharePoint, MS Teams, etc.)
Ability to obtain Q-clearance, which normally requires U.S. Citizenship
Additional Job Requirements for Administrative Assistant 3:
In addition to the requirements outlined above, qualification at the higher level requires:
Experience in coordinating meetings or events
Experience in providing administrative services, including general office management
Excellent oral and written skills, including proofreading, grammar, spelling, punctuation, accuracy, and attention to detail
Ability to independently organize, prioritize, and follow-through on assigned tasks
Demonstrated proficiency with MS Office Suite (Word, Excel, Outlook, SharePoint, MS Teams, etc.)
Excellent record of professional behavior, dependability, availability, and punctuality
Education/Experience at Administrative Assistant 3 Level:  Position requires a High School Diploma and 2 years related experience; or, an equivalent combination of education and experience directly related to the occupation.
Education/Experience at Administrative Assistant 4 Level:  Position requires a High School Diploma and 3 years related experience; or, an equivalent combination of education and experience directly related to the occupation. At this level, additional training, certification, and/or education may be desirable.
Desired Qualifications:
Experience with LANL Lab-wide systems (Oracle, Time and Labor, Concur, Foreign Travel, FVTS) and SharePoint
Experience with procurement/DPR responsibilities
Experience with and knowledge of the Laboratory's visitor, guest and foreign visits and assignments programs and process
Active Q clearance
Work Location:  The work location for this position is fully onsite and located in Los Alamos, NM. All work locations are at the discretion of management.
Position commitment:   Regular appointment employees are required to serve a period of continuous service in their current position in order to be eligible to apply for posted jobs throughout the Laboratory. Directive 206.2  - Employment with Triad requires a favorable decision by NNSA indicating employee is suitable under NNSA Supplemental Directive 206.2. No Clearance:   Position does not require a security clearance.  Selected candidates will be subject to drug testing and other pre-employment background checks.
New-Employment Drug Test:  The Laboratory requires successful applicants to complete a new-employment drug test and maintains a substance abuse policy that includes random drug testing.  Although New Mexico and other states have legalized the use of marijuana, use and possession of marijuana remain illegal under federal law. A positive drug test for marijuana will result in termination of employment, even if the use  was pre-offer.
Regular position:  Term status Laboratory employees applying for regular-status positions are converted to regular status.
