Description We are looking for a highly organized Administrative Assistant to join our team in Salem, New Hampshire. This is a long-term contract position requiring onsite presence five days a week. The role involves a mix of administrative, planning, and shipping-related responsibilities, making it ideal for someone who is proactive and thrives in a dynamic work environment.

Responsibilities:

Organize and schedule container shipments by processing shipping documents, consolidating invoices, and maintaining updated records in company systems.

Collaborate with the warehouse team to ensure smooth coordination and communication regarding shipment schedules.

Perform general administrative duties such as managing office supplies, stocking the kitchen, and assisting the company president with occasional tasks.

Handle front-office responsibilities, including greeting visitors and answering inbound calls in an organized and courteous manner.

Accurately input data into Excel spreadsheets while utilizing basic formulas to manage information effectively.

Support planning activities by staying on top of schedules and ensuring timely execution of tasks.

Maintain a sense of urgency while managing time-sensitive assignments in a fast-paced environment.

Uphold a business casual dress code while adapting to occasional jeans days on Thursdays and Fridays.

Ensure compliance with organizational policies for background checks when applicable. Requirements - Proven experience in administrative support roles, preferably in a fast-paced office environment.

Proficiency in Microsoft Excel, including basic to intermediate skills such as data entry and formula usage.

Strong organizational skills with the ability to multitask and prioritize effectively.

Excellent communication skills, both verbal and written, to interact professionally with team members and external contacts.

High level of attention to detail and accuracy in data management and record-keeping.

Ability to work independently as a self-starter while also collaborating effectively within a team.

Familiarity with shipment coordination or logistics is a plus but not required.

Must be available to work onsite five days a week in Salem, New Hampshire. TalentMatch®
