Our Client, a Retail Pharmacy company, is looking for an Executive Assistant, Marketing; Pharmacy and Healthcare Delivery for their Woonsocket, RI/ Hybrid location. Responsibilities:

Heavy calendar management, consistently scheduling meetings, trying to find time that works for all attendees and meet meeting deadline

Expense Reporting in the Concur Expense System

Onboarding of equipment, software, badges, seat assignments, etc. for new hires on a timely basis

Monitoring, ordering , unpacking & stocking of office & kitchen supplies

Ordering lunches for Executives, process expenses in Concur Expense report system

Adhere to confidentiality

Assist other Admins with group/large meetings and lunches

Responsive to co-workers

Reserve Conference Rooms in Reservation Hub online software

Conduct research when needed

Conducts routine complex administrative office coordination assuring smooth, timely, and efficient office operations for the department

Draft emails

Anticipate Executive needs

Communication Liaison

Conducts routine complex administrative office coordination assuring smooth, timely, and efficient office operations for the department.

Administers assignments research, collection, analysis, and compilation of data and information for department reports.

Controls the handling of files, reports, financial records, and confidential record retention ensuring regulatory compliance.

Implements a high degree of customer service by fielding internal and external inquiries, finding resolutions, or redirecting as appropriate.

Establishes efficient workflow and office operations of the department by communicating established policies and procedures.

Controls the internal and external department point of contact ensuring concise communication with employees, stakeholders, and members of the senior management.

Prepares complex and comprehensive financial records and files about departmental expenditures, budget balances, investments, payroll, and operations.

Examines performance evaluations within the department ensuring compliance and continuous improvement.

Identifies opportunities to staff support and administrative assistance to executive-level, senior management, or senior individual contributors as needed to ensure consistent department operations.

Onboarding of equipment, software for new-hires

Requirements:

Microsoft Office Experience (Outlook, Outlook Calendar, Word, Excel)

Making travel arrangements and submitting expenses after travel

Experience w/ ordering office supplies & stocking

Experience w/ planning large meetings and reserving conference rooms

Experience w/ organizing and ordering lunch and set-up

Experience w/ backing up other Executive Assistants

5+ years work experience

Working knowledge of problem solving and decision-making skills

Bachelor's degree preferred/specialized training/relevant professional qualification.

Verifiable High School Diploma or GED Required Yes

Concur system knowledge is a plus
