Job Summary
The College of Science is seeking a salaried Academic Wage: Administrative Assistant to the Executive Associate Dean and Associate Dean of Academic and Student Affairs. This is a full-time (1.00 FTE ), 12-month, fixed-term position.
This position is being filled on a temporary basis to cover while an employee is on protected leave. The position is anticipated to end on December 15, 2025, or upon return of the on leave employee. This position does not carry an expectation of continued appointment to the position or continued employment at Oregon State University.
The Administrative Assistant to the Executive Associate Dean and Associate Dean of Academic and Student Affairs is an integral part of the College of Science Dean's Office and Science Success Center. This position reports directly to the Executive Assistant to the Dean and provides confidential administrative support to the Executive Associate Dean and Associate Dean of Academic and Student Affairs.
The majority of the administrative assistant's activity is performed independently on campus in an office environment. The administrative assistant is responsible for understanding the University and College's mission and goals, and the policies, rules and procedures as they apply to the position. Sound judgment, anticipatory skills, confidentiality, excellent organizational and communications skills, professional writing and editing skills, and the ability to be agile to change are imperative skills and qualifications for being successful in this position.
The College of Science provides a core instructional role at Oregon State University ( OSU ), supporting the ideals of learning, discovery, and engagement that are the foundation of a land-grant university. The College of Science has seven departments across the mathematical, physical and biological sciences: Biochemistry and Biophysics, Chemistry, Integrative Biology, Mathematics, Microbiology, Physics and Statistics. Key Responsibilities
75 % Administrative Support for the Executive Associate Dean and Associate Dean of Academic and Student Affairs.
Provide confidential administrative support.
Alert Executive Associate Dean and Associate Dean of Academic and Student Affairs to urgent needs or issues.
Plan, prioritize, and manage simultaneous tasks, often with tight deadlines, and shifting priorities.
Manage ongoing projects and requests from the Executive Associate Dean and Associate Dean of Academic and Student Affairs, and effectively communicate your progress.
Communicate, coordinate, and collaborate with the administration team, other OSU personnel, colleagues and stakeholders outside OSU , the public, etc. in a timely manner.
Independently compose, maintain, and process correspondence and surveys in the form of letters, reports, memorandums, presentations, etc. This work will at times be confidential and often entail collecting information from numerous sources and providing the information in an organized manner. This work must be of professional quality with attention to detail e.g., grammar, spelling, formatting and OSU style guidelines.
Maintain calendars and schedules. Make independent decisions regarding scheduling appointments and meetings utilizing calendar and scheduling software, e.g., Outlook, Zoom, MS Teams.
Make travel arrangements and process reimbursements.
Use and reconcile Travel and Expense Cards.
Attend meetings and take minutes.
Provide administrative assistance and support for searches.
Manage events for the unit or provide support to our events manager when needed (e.g., scheduling location, catering, etc.).
Manage record retention.
Other duties as assigned.
25% General Unit Duties:
Assist Executive Assistant (EA) to the Dean with special projects as needed.
Provide support to the Dean during EA's absence, e.g., scheduling meetings.

What You Will Need
Bachelor's degree and at least three years of experience providing advanced administrative office support for a leader, unit, or business,orat least 6 years of equivalent professional experience with similar duties supporting a senior-level executive.
Strong and timely oral, written, and interpersonal communications skills with both internal and external constituencies in a professional setting.
Experience providing professional quality documents and presentation material exhibiting attention to detail e.g., correct grammar, spelling, formatting and applicable style guidelines.
Professional experience managing complex scheduling needs with high level of attention to detail and accuracy.
Professional experience planning, prioritizing, and managing simultaneous tasks, often with tight deadlines, and shifting priorities.
Ability to exercise sound judgement around confidentiality.
Professional experience with Microsoft Office suite of products (Word, Excel, PowerPoint, Outlook, Zoom, MS Teams), and Adobe Professional software as well as electronic document management and processing systems.
Professional experience requiring the exercise of independent judgment

This position is designated as a critical or security-sensitive position; therefore, the incumbent must successfully complete a criminal history check and be determined to be position qualified as per University Standard: 05-010 et seq. Working Conditions / Work Schedule
