We are seeking an Administrative Assistant to join our team in Mesa, AZ . In this role you will support the Pre-Construction department and manage daily office operations. We are seeking someone who thrives in a fast-paced environment, enjoys juggling multiple priorities, and takes pride in keeping people and projects running smoothly.

Compensation: $19 - $24 per hour, DOE

The Role

Provide administrative support to the Pre-Construction department and leaders

Track milestones and deliverables for department projects

Maintain organized digital and physical filing systems for project documentation

Input and update project data in the company CRM system

Assist in preparing reports, presentations, and project summaries for leadership

Coordinate executive travel, including booking flights, hotels, and ground transportation

Prepare and submit expense reports and reimbursements

Manage calendars, appointments, and meeting logistics

Order and coordinate office lunches, team events, and off-site reservations

Handle confidential information with discretion and professionalism

Serve as the primary point of contact for in-office operations and visitors

Oversee office supplies, equipment, mail, and vendor relationships

Ensure the office environment remains organized, clean, and efficient

All other duties as assigned

Requirements

2+ year(s) of executive assistant, legal assistant, administrative support, Human Resources or related experience required

Proficient with Microsoft Office Suite or related software

Ability to learn and utilize role specific equipment and software

Excellent organizational skills and attention to detail

Excellent verbal and written communication skills

Excellent interpersonal and customer service skills

Excellent time management skills with a proven ability to meet deadlines

Ability to function well in a high-paced environment

Ability to work independently, prolonged periods of sitting at a desk and working on a computer while utilizing telephones, smart phones and headsets

Must provide a valid government-issued photo ID for verification; a driver's license is required if the role involves driving
